Overview
The Client Care Coordinator is responsible for delivering an exceptional customer experience by managing incoming inquiries, organizing client files, coordinating appointments, preparing and sending quotes, and supporting sales follow-up.
You will work closely with ownership and the production team to ensure all clients receive prompt communication and professional service.
Key Duties & Responsibilities
- Respond to incoming phone calls, emails, Facebook, and website inquiries
- Schedule consultations, site visits, showroom appointments, and follow-up meetings
- Prepare, organize, and send customer quotes and proposals
- Follow up on pending quotes and leads to help convert them into sales
- Maintain organized client records, job folders, and scheduling calendars
- Communicate project updates, timelines, and install dates to clients
- Coordinate with shop and install teams regarding job progress
- Assist with invoicing, deposits, and payment follow-up
- Support social media inquiries and lead response
- Ensure excellent customer service throughout the full client journey
Qualifications
- Strong customer service and communication skills
- Excellent organization and time management
- Comfortable using email, scheduling software, and Microsoft Office / Google Workspace
- Sales, administration, or client service experience preferred
- Construction, cabinetry, interior design, or renovation experience is an asset
- Ability to work in a fast-paced environment and manage multiple clients
