POSITION SUMMARY
The Customer Service Representative (CSR) serves as a primary point of contact for customers, providing accurate information and support related to utility services, billing, and account management. This role requires strong communication skills, attention to detail, and the ability to resolve customer concerns in a professional and efficient manner.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Respond to customer inquiries via phone, email, and in person regarding billing, service requests, and general utility services.
- Assist customers with account setup, transfers, and service termination requests.
- Set up payment arrangements, payment plans, and explain billing statements.
- Create and update customer accounts and maintain accurate records in the billing system.
- Handle and resolve customer complaints or concerns in a timely and professional manner.
- Generate service orders for field staff, including water quality, turn-ons, shut offs, and maintenance requests.
- Create exception bills and make account adjustments as required.
- Educate customers on policies, procedures, and available programs or services.
- Coordinate with internal departments to resolve service or account issues.
- Maintain a high level of customer satisfaction through courteous and effective service.
- Perform general administrative duties such as filing, data entry, and document processing.
REQUIRED QUALIFICATIONS
- High school diploma or equivalent (GED)
- 3-5 years of customer service experience
- Strong customer service and interpersonal skills
- Excellent verbal and written communication skills.
- Attention to detail and accuracy in data entry
- Ability to manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and customer information systems.
- Basic math skills for handling billing and payments.
- Strong organizational and time management skills.
- Ability to maintain confidentiality of sensitive customer information
PREFERRED QUALIFICATIONS
- Experience in a utility or public environment
- Bilingual communication skills
PHYSICAL REQUIREMENTS
- Sedentary – Exerting up to 10lbs of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
WORKING CONDITIONS
- Primarily office environment with frequent interaction with customers.
- High volume of phone and computer work.
- May require sitting for extended periods and occasional lifting of light office materials.
