Summary:
This position is responsible for the management of day-to-day business operations of the Davenport Coffee Lounge within the School of International Service (SIS). This position is responsible for monitoring, maintaining and improving the quality of service, products, and the physical space of the coffee shop provided to the American University community by the Davenport Coffee Lounge under the supervision of the Senior Manager, Facilities Operations.
This position as head supervisor requires initiative, organization and the ability to mediate and guide 35 Federal Work Study (FWS) students. While this job is primarily self-directed, there is some supervision and assistance.
This position reports directly to the SIS Senior Manager, Facilities Operations and is responsible for supervising at least 30 FWS students daily during the academic year and 8-12 part-time students during the summer session.
This position also serves as the liaison between SIS and the Davenport Coffee Lounge
Essential Functions:
1.) Manage Davenport Staff
As the head supervisor, this position oversees FWS and PT students during the academic year and PT students during summer sessions. This includes assuring that each student has been hired properly, and that any information the SIS Senior Manager, Facilities Operations or Human Resources may need is provided in a timely fashion. The head supervisor also coordinates and facilitates monthly all-member staff meetings. Other responsibilities include serving as a liaison between the SIS office/community, staff, faculty, vendors and other departments and the Davenport Coffee Lounge. This position is essentially the primary contact for information about the Davenport Coffee Lounge. This position is responsible for the daily management of the Davenport Coffee Lounge. This makes it necessary to be on the premises daily. Interacting with and communicating with co-workers daily is essential to managing the Davenport Coffee Lounge.
2.) Inventory Specialist/Evaluator
As the head supervisor, this position is responsible for all weekly and daily inventory duties. A weekly inventory of stock is recorded and monitored, and stock orders are placed according to inventory needs. A just-in-time inventory monitoring and ordering system is used; whereby inventory needs and orders are timed to maximize utility and efficiency.
3.) Facility and Equipment Management
Responsibilities for this position include Maintenance of the Davenport Coffee Lounge space, the Atrium near Davenport, and the café outside. Standard upkeep is the responsibility of this position. At a minimum this means maintaining an environment compliable with DC Department of Health regulations Operation. Care and maintenance of machines and appliances are the responsibility of the manager. This includes but is not limited to the espresso machine, coffee machine, and cash register, sinks, ice machine, 3 refrigerators, and CO2 machine.
4.) Hiring, Training, and Scheduling of Staff Members
As the head supervisor, this position is responsible for the hiring, training, and scheduling of staff members on a bi-annual basis. At the beginning of each academic semester returning staff members will submit their class schedules and a permanent work schedule for the semester is created considering FWS award amounts and schedule preferences (if possible). Newly hired staff members will fill in any remaining spaces in the schedule. Training sessions will be facilitated by the head supervisor at the beginning of each semester to provide new and returning staff members with the skills they will need to maintain a productive environment.
5.) Administration/Bookkeeping Support
As the head supervisor, this position is responsible for maintaining organized records of product invoices. Other responsibilities include delivering the previous day’s cash deposit to Student Accounts, sending invoices to the Accounts Payable department, and processing bi-weekly timesheets in a timely fashion. This position is also responsible for any other duties pertaining to the management of the Davenport Coffee Lounge not aforementioned or assigned by the Senior Manager, Facilities Operations.
6.) Catering of Meetings, Conferences, and Orientations
The incumbent is responsible for all catering initiatives. The Davenport Coffee Lounge regularly caters to the SIS staff and faculty meetings as well as meetings that might occur in SIS and EQB. This position coordinates all ordering that is needed as well as facilitates in the arrangement of goods and services needed for any event that is being catered. Davenport staff caters the following events: SIS staff and faculty meetings, events requested by individual SIS faculty and staff members Catering is limited to the SIS and EQB building and to products that Davenport usually carries.

Salary Range:
$30.61 per hour.
Required Education and Experience:
Bachelor's degree or equivalent.
2 - 4 years of relevant experience.
Prior food service experience.
Additional Eligibility Qualifications:
Food Certification and prior catering experience (recommended).
Ability to multitask as well as delegate tasks to employees when necessary.
Ability to manage a large staff.
Detail-oriented to provide accurate budget reports of the Davenport Lounge's expenses and revenues.
Prior customer service and managerial experience preferred.
Ability to work in a multi-cultural environment.
Works well under pressure with a customer service focus.
