Role Description
We are seeking a detail-oriented Executive Legal Assistant to join our team in a full-time, on-site capacity at our New York City office. The Executive Legal Assistant will provide legal and administrative support, handle legal document preparation, assist with communications, and support our legal professionals in managing day-to-day tasks. The role also includes maintaining organized case files, scheduling meetings, and ensuring effective communication between attorneys, clients, and external parties.
Responsibilities include:
- Managing Partner’s daily priorities
- Scheduling meetings and managing calendars
- Coordinating internal and external communications on behalf of Partner
- Preparing meeting materials, agendas, and follow-up items
- Planning travel, including booking flights, accommodations, and ground transportation
- Fielding client and potential client calls
- Tracking client projects and deal flow
- Organizing and maintaining contact lists and client information
- Preparing engagement agreements and related new client onboarding documents
- Drafting correspondence and document processing
- Document management
- Maintaining firm electronic and physical filing system
- Conducting copyright registration research and data entry related thereto
- Submitting documents pertaining to copyright to the US Copyright Office
- Processing incoming mail
- Supporting general office operations and providing backup administrative support as needed
- Handling confidential and sensitive information with discretion
- Some personal assistant tasks and errands
Applicants should be proactive, detail-oriented, highly organized, and personable, with strong multitasking and verbal communication skills. Proficiency in Microsoft Word, Excel, and PowerPoint is required. Prior experience working in a professional office environment is strongly preferred.
