Key responsibilities
- Work closely with the team to deliver day-to-day legal administrative assistance, manage incoming requests, and ensure tasks are completed accurately and followed through.
- Stay ahead of attorney needs, coordinate priorities, meet deadlines, and liaise with internal departments as required.
- Keep records precise and aligned with firm procedures, including records management practices and NetDocs usage standards.
- Prepare, edit, proofread, and format a wide range of documents, and assist with detailed document preparation, filings, and presentation materials.
- Gather and organize information from databases, support document retrieval, and enter data as needed.
- Maintain both electronic and paper files, and help oversee filing, compliance, and records coordination.
- Handle invoices, expenses, and intake paperwork while ensuring adherence to billing rules and outside counsel guidelines.
- Contribute to billing tasks by drafting, checking, and tracking client invoices so they are accurate and submitted on time.
- Manage calendars, contacts, and meetings, while arranging logistics and keeping client records current.
- Provide general administrative help with correspondence, phone calls, travel arrangements, and case-related documents.
- Continue building knowledge and remain up to date on firm systems, technology, and best practices.
Requirements
- High school diploma or an equivalent qualification.
- 3 to 6 years of experience in secretarial work or a closely related role.
- Background in professional services is required; prior legal industry exposure is considered an advantage.
- Working knowledge of legal terminology and common legal documents.
- Strong verbal and written communication skills, with a proactive approach.
- Ability to take initiative and manage several matters efficiently at the same time.
- Skilled at setting priorities and working to deadlines.
- Well-developed time management and organizational abilities.
- Strong troubleshooting ability and comfort working under deadline pressure.
- Proficiency in Microsoft Office applications.
