Job Description
Summary: Primarily responsible for providing clerical, enrollment, and records management support to ensure efficient operation of school counseling and administrative services.
Essential Duties and Responsibilities
- Reports to work as scheduled on a regular and reliable basis.
- Enrolls students into the student information systems manually or processes online pre‑registration.
- Collects legal documentation and works with administrators & counselors to maintain accurate data affecting the SIS.
- Works closely with the district office, Special Education Coordinator, and transportation regarding unique registration scenarios.
- Assists families with activation of the SIS system.
- Assembles, prepares, and maintains student scholastic records, including cumulative files and transcripts per district guidelines. Prepares files for summer transfer and reviews incoming files.
- Prepares, classifies, sorts, and files correspondence or other data and prepares appropriate response if necessary.
- Uses a personal computer, word processing, database, and spreadsheet applications, including the student information system (SIS).
- Acts as a liaison between building counselors and the building administrator(s).
- Responds to information requests from the public, parents, staff, and other parties.
- Answers questions within authority; directs callers/visitors to appropriate location or staff. Greets visitors, answers telephone calls pleasantly and efficiently, and communicates effectively in routine, sensitive, and confidential matters.
- Must be willing to obtain and maintain Medication Administration Certification, CPR Certification, and First Aid Training.
- May be required to perform district‑wide support services in emergencies.
- Performs other duties as assigned.
Education and Experience
- High school diploma or equivalent (GED) is required.
- Associate degree or equivalent coursework from a two‑year college or technical school preferred.
- Minimum two years of related administrative experience and/or training; experience in a school, educational, or student‑services environment preferred.
Hours/Schedule
This full‑time school‑year position is approximately 7:00 am to 3:30 pm with expectation to be at the district on all school days. Actual days worked will be determined by the building principal.
Compensation
Base rate $16.00 per hour, with potential increase of $1.00–$2.00 based on experience or certifications. Final pay determined by Business Office/HR.
Benefits
Eligible for full benefits including health, dental, and some supplemental products. Automatically enrolled in the state‑sponsored retirement program (IPERS). District contributes 9.44% of wages; employee contributes 6.29%.
Paid Leaves/Holidays
Paid sick leave, paid personal leave, and 7 paid holidays: Labor Day, Thanksgiving, day after Thanksgiving, Christmas Day, New Year's Day, Memorial Day.
Job Requirements
- At least 2 years of relevant experience preferred.
- Associate degree preferred.
- Citizenship, residency, or work visa required.
