Role Overview:
Our client, a prestigious law firm specializing in corporate law and litigation, is looking for a highly organized, detail-oriented, and proactive Executive Legal Assistant. In this hybrid role, you will provide comprehensive administrative and paralegal support to a team of senior partners, ensuring operational efficiency and maintaining a good work-life balance.
Key Responsibilities:
- Manage complex calendars, schedule meetings, coordinate travel, and handle meeting logistics for partners and associates.
- Prepare, proofread, and format various legal documents such as pleadings, motions, correspondence, and contracts.
- Conduct legal research, gather evidence, and assist with case management tasks under attorney supervision.
- Maintain and organize case files, both physical and electronic, with a focus on accuracy and accessibility.
- Liaise professionally and timely with clients, courts, opposing counsel, and other external parties.
- Handle confidential information with the utmost discretion and integrity.
- Assist with billing and time entry, ensuring compliance with firm policies.
- Provide general administrative support, including phone management and office supplies maintenance.
- Contribute to a positive and collaborative office environment by supporting team members.
- Stay updated on legal procedures, court rules, and firm best practices.
Qualifications
- Associate's degree or Bachelor's degree preferred; a paralegal certificate is a strong asset.
- Minimum of 5 years of experience as a legal assistant, executive assistant, or paralegal in a law firm.
- Proficiency in legal software and databases like Westlaw, LexisNexis, Clio, and document management systems.
- Exceptional organizational and time management skills with the ability to prioritize tasks and manage multiple deadlines.
- Strong written and verbal communication skills with meticulous attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with e-filing court documents in various jurisdictions.
- Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
- Discretion and professionalism in handling sensitive and confidential information.
- A proactive approach and a strong work ethic.
