Job description
The Paralegal provides comprehensive legal and administrative support to the Inventory Management and Developer Services teams with a focus on governing documents, Public Offering Statement (POS) filings, HOA matters, compliance, property registrations, contract documentation, and coordination with external legal counsel. This role ensures accuracy, consistency, and timely execution of all legal documentation and operational filings across multiple Westgate properties.
This role works closely with internal departments as well as external counsel to support developer obligations, maintain regulatory compliance, and ensure all governing documents and filings are properly maintained, updated, and aligned across the organization.
What You'll Do:
- Governing Documents & POS Support
- Reviews, organizes, and maintains all governing documents including Public Offering Statements, amendments, exhibits, declarations, bylaws, and rules & regulations.
- Assists in preparing and coordinating POS updates, state filings, registration renewals, and supporting documentation.
- Ensures all governing documents remain accurate, internally consistent, and aligned across multiple properties.
- Tracks revisions, maintains version control, and ensures distribution of updated documents to relevant departments.
- Legal Coordination & Property Support
- Serves as a liaison between Inventory/Developer Services and external legal counsel (Greenspoon Marder) on matters relating to POS filings, HOA issues, deed corrections, and developer obligations.
- Assists with deed research, contract documentation, and clarification of ownership issues as needed.
- Supports legal review for developer inventory, trust filings, and property-specific regulatory requirements.
- Coordinates with Legal, Operations, Sales, HOA, and Accounting to ensure documentation accuracy.
- Compliance & Document Management
- Maintains a calendar of all required filings, renewals, and deadlines across multiple jurisdictions.
- Assists in preparing drafting requests, legal memos, summaries, and document comparison analyses.
- Identifies inconsistencies or gaps in governing documents and provide recommendations for correction.
- Manages document repositories, ensuring proper indexing, storage, and accessibility.
- Research & Analysis
- Conducts legal and factual research related to property filings, developer inventory, HOA questions, and historical document references.
- Analyzes and summarizes complex documents for internal teams, providing clear interpretation of key provisions.
- Assists in drafting owner communications related to governing documents or regulatory requirements.
- Administrative & Operational Support
- Prepares and compiles legal documentation packages, exhibits, and filing packets.
- Supports special projects, audits, or internal reviews as requested by VP leadership.
- Maintains confidentiality of all legal and sensitive information.
- Performs other duties and responsibilities as assigned.
What You'll Bring:
- Experience
- Minimum 3–5 years of legal or paralegal experience, preferably in real estate, timeshare, or property development.
- Education & Certifications
- Bachelor’s degree in Paralegal Studies or related field.
- Certified Paralegal (CP) preferred
- Skills/Knowledge
- Strong understanding of governing documents, POS structures, deed research, and regulatory filings preferred.
- Strong analytical, reading, and comprehension skills.
- Excellent organization and document management abilities.
- Proficiency in Microsoft Office (Word, Excel, Adobe, SharePoint).
- Ability to manage multiple high-level priorities and deadlines in a fast-paced environment.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently and maintain confidentiality.
