Job Summary
We are seeking a proactive and detail-oriented Regional Admin to oversee administrative operations, vendor coordination, and civil works management across assigned locations. The ideal candidate will ensure smooth office functioning, cost efficiency, and timely execution of infrastructure-related activities.
Key Responsibilities:
1. Office Administration
- Manage day-to-day administrative operations of regional offices
- Ensure proper maintenance of office facilities, assets, and infrastructure
- Handle space planning, seating arrangements, and office setup
- Monitor housekeeping, security, and front office functions
2. Vendor Management
- Identify, onboard, and manage vendors for various services (housekeeping, security, maintenance, etc.)
- Negotiate contracts, pricing, and service level agreements (SLAs)
- Track vendor performance and ensure quality service delivery
- Process vendor bills and ensure timely payments
3. Civil Works & Facility Management
- Oversee civil, electrical, and interior works for office setup and maintenance
- Coordinate with contractors for renovations, repairs, and expansions
- Ensure projects are completed within timelines and budget
- Conduct site inspections and ensure compliance with safety and quality standards
4. Compliance & Documentation
- Maintain administrative records, contracts, and documentation
- Ensure compliance with company policies and local regulations
- Support audits related to administration and facilities
5. Cost & Budget Management
- Monitor administrative expenses and optimize costs
- Prepare budgets and track spending against forecasts
Required Skills & Qualifications:
- Bachelors degree in Administration, Management, or related field
- 3–5 years of experience in administration, facility management, or similar role
- Strong experience in vendor and civil works management
- Good negotiation and coordination skills
- Ability to manage multiple locations/projects simultaneously
- Proficiency in MS Office (Excel, Word, etc.)
Preferred Skills
- Experience in handling regional operations
- Knowledge of basic civil, electrical, and interior works
- Strong problem-solving and decision-making abilities
