Job Description

Our client is a growing family law practice seeking an experienced Paralegal & Office Manager to join their team. This is a dynamic, hands-on role that blends legal support with office operations, ideal for someone who enjoys variety, autonomy, and being a key part of a collaborative team.

This position is a 15-month maternity leave coverage, with the potential for extension.

While processes and procedures are in place, the environment remains entrepreneurial and evolving, perfect for someone who thrives in a fast-paced setting and enjoys bringing structure and efficiency to a busy practice.

Key Responsibilities

Accounting & Financial Management

  • Manage trust and general accounting, including:
  • Ensuring invoices are paid in a timely manner
  • Preparing trust cheque requisitions for client payments
  • Handling intake and return of client trust funds
  • Oversee client billing, payment plans, and account tracking
  • Liaise with external accountant, including:
  • Monthly trust reporting
  • Ensuring accounts are accurate and up to date
  • Organizing and uploading invoices to shared drives

Practice & Office Management

  • Manage calendars for three lawyers, including scheduling meetings, calls, and questionings
  • Oversee file and time management across all matters
  • Coordinate courier deliveries and occasional mailings
  • Support general office operations and workflow efficiency

Client & File Management

  • Act as a key point of contact for clients, including:
  • Managing expectations and timelines
  • Requesting and organizing financial disclosure
  • Ongoing client communication
  • Handle intake of new clients, including:
  • Sending intake documents and retainer agreements
  • Receiving retainer funds
  • Maintaining accurate records in Clio Manage
  • Legal Support (Family Law)
  • Draft correspondence to clients and opposing counsel
  • Prepare and draft court documents, including:
  • Statements of Claim, Defence, and Counterclaim
  • Divorce documents
  • Affidavits and MIT materials
  • Prepare and maintain pleadings and financial disclosure binders
  • Draft first versions of separation and divorce agreements
  • Prepare exhibits and affidavits for filing
  • File documents with the Alberta Court of Justice, Court of King’s Bench, and Court of Appeal

Qualifications

  • 5–10+ years of experience in family law (required)
  • Strong experience with both legal support and office management responsibilities
  • Proficiency with Clio Grow/Manage and Microsoft Office
  • Solid understanding of trust accounting and billing practices
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Comfortable working in a fast-paced, evolving environment
  • Proactive, resourceful, and able to work independently
