Job description

Document Controller / Scanning Specialist

We are seeking detail-oriented contractors to support a large-scale document digitization

initiative. Successful candidates will be responsible for document preparation, scanning,

quality assurance, records tracking, and document management activities while ensuring

compliance with policies and information security requirements.

The team will consist of one (1) Senior Document Controller / Scanning Specialist and four

(4) Intermediate/Junior Document Controllers / Scanning Specialists. The Senior resource

will provide day-to-day guidance, support quality assurance activities, assist with issue

resolution, and help ensure project deliverables are completed according to established

standards and timelines.

Positions Requested

  • 4 × Intermediate / Junior Document Controllers / Scanning Specialists

Responsibilities

  • Scan and organize large volumes of documents and files
  • Perform data entry and ensure accurate capture of information
  • Maintain organized and accurate records of scanned documents
  • Perform quality assurance reviews to ensure scanned documents match the original

records and meet project standards

  • Track scanned, tested, and approved documents using established project trackers
  • Maintain accurate records of documents approved for shredding and confirm shredding activities are properly documented
  • Ability to handle and transport physical records and file boxes in support of scanning and digitization activities
  • Adhere to all workplace health and safety requirements
  • Follow National Bank policies, procedures, and information security requirements
  • Follow established file naming conventions and document management standards
  • Support document preparation activities, including removing staples, paper clips, and organizing files for scanning
  • Perform additional administrative and project-related duties as assigned

Qualifications

  • Experience operating Canon production scanners and Canon Capture SE
  • Experience with high-volume document scanning and digitization projects
  • Strong attention to detail and commitment to accuracy
  • Strong organizational and record management skills
  • Proficiency with Microsoft Excel, Outlook, Word, Teams, and SharePoint
  • Ability to follow documented procedures and quality control standards
  • Strong analytical, problem-solving, and critical-thinking skills
  • Ability to work independently and as part of a team
  • Friendly, professional, and customer-focused attitude
  • Experience handling confidential and sensitive information is considered an asset

Contract Details

  • Position: Document Controller / Scanning Specialist
  • Contract Duration: ~6 months
  • Start Date: August 3, 2026
  • End Date: February 12, 2027
  • Work Schedule: Monday to Friday, 8:00 AM to 4:30 PM
  • Work Location: Onsite (750 Cambie St, Vancouver, BC V6B 0A2)
  • Contract Type: Time and Materials

Preferred Skills (Nice to Have)

  • Records management experience.
  • Experience working with banking, legal, compliance, or corporate records.
  • Experience performing document quality assurance and audit activities.

Additional Requirements for the Senior Resource

  • Previous experience leading document digitization or records management projects
  • Experience performing quality assurance and quality control reviews
  • Ability to train and mentor team members
  • Experience coordinating workload and resolving day-to-day operational issues
  • Advanced proficiency with scanning software, document management processes and Microsoft Office applications

Pay: $21.50-$39.50 per hour
