Role Description

This is a full-time on-site position for an Accounts Receivable Specialist, located in Etobicoke, ON. The role is responsible for ensuring timely and accurate monitoring of customer accounts, collecting outstanding balances, and maintaining strong customer relationships to protect the company’s cash flow.

Key Responsibilities

Accounts Receivable

  • Record customer payments (cheques, EFT, wire,) and apply them accurately in the accounting system.
  • Reconcile AR sub-ledger to the general ledger monthly.
  • Monitor aging reports and identify overdue accounts; escalate issues to management when necessary.
  • Process chargebacks, deductions, and adjustments with supporting documentation.
  • Coordinate with the sales and logistics teams to resolve invoice discrepancies and ensure accurate billing.

Collections

  • Follow up with customers via phone and email to secure timely payments according to agreed terms (Net-30, Net-60, etc.).
  • Maintain detailed records of collection activities, communications, and payment commitments.
  • Negotiate and document payment plans when necessary, ensuring adherence to internal credit policies.
  • Prepare weekly AR aging reports and highlight high-risk or delinquent accounts.
  • Recommend accounts for credit hold, bad debt provision, or legal action when appropriate.

Customer Account Management

  • Set up new customer accounts, verifying credit references and compliance with internal controls.
  • Collaborate with internal teams (Sales, Customer Service, Logistics) to resolve payment disputes and chargebacks.
  • Ensure all customer accounts are maintained with accurate contact, billing, and remittance information.
  • Support internal and external audits with AR documentation and reconciliations.

Production Data Management

  • Perform data entry for all manufacturing locations using multiple source documents and system reports.
  • Validate, reconcile, and cross-check production data across different reports to ensure accuracy and consistency.
  • Consolidate production-related data into standardized formats for reporting and analysis.
  • Identify discrepancies, variances, or data gaps and coordinate with operations, production, and finance teams to resolve issues.
  • Maintain data integrity and ensure timely updates in internal systems and reporting templates.
  • Support monthly, quarterly, and ad-hoc production reporting requirements.

Qualifications

  • College diploma or bachelor’s degree in accounting, Finance, or Business Administration preferred.
  • Minimum 2 years of experience in Accounts Receivable, Credit, or Collections (manufacturing or distribution environment preferred).
  • High attention to detail and accuracy.
  • Proficiency with ERP systems (e.g., Dynamics 365, SAP, or similar ERB).
  • Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, aging analysis).
  • Familiarity with electronic payment systems.

The salary range listed in this posting represents the expected compensation for this position based on market conditions and internal considerations. Final compensation will be determined based on the selected candidate’s experience, qualifications, and alignment with the role requirements.
