Job description

The Fleet Operations Coordinator oversees a fleet of vehicles, performing complex administrative work to support, coordinate, and ensure the efficiency of the vehicle maintenance program. The position is responsible for coordinating a fleet of vehicles to ensure efficient operations, cost control, safety compliance, and proper maintenance. This role involves coordinating vehicle procurement, maintenance schedules, driver management, and compliance with transportation regulations while maximizing fleet performance and minimizing downtime. Does related work as required. Work is performed under general supervision.

The hiring range for this position is $33.13/hour to $45.56/hour based on experience.

The full salary range for this position is $33.13/hour to $57.98/hour to provide opportunity for growth and development.

  • Oversees and coordinates the daily operations of the County’s vehicle fleet;
  • Monitors vehicle usage, fuel consumption, and maintenance schedules to ensure efficiency and cost control;
  • Develops and implements preventive maintenance programs to minimize downtime and extend vehicle lifespan;
  • Coordinates vehicle repairs and logistics with vendors to minimize cost and downtime;
  • Coordinates vehicle inspections, repairs, and servicing with internal teams and external vendors;
  • Ensures compliance with transportation laws, safety regulations, and company policies;
  • Maintains accurate fleet records including registrations, insurance, service logs, and inspection reports;
  • Analyzes fleet data and prepares reports on performance, costs, and utilization;
  • Participates in the preparation and management of fleet budgets including fuel, repairs, insurance, and replacement planning;
  • Supports the planning for acquisition, maintenance, and disposal of vehicles;
  • Coordinates the procurement of vehicles in collaboration with the procurement department, including identifying needs from stakeholders, gathering requirements, determining whether an active contract exists or if formal solicitation is required, selecting vendors, placing order, and overseeing delivery to the County;
  • Develops safety and training programs;
  • Follows up on accident reports, works in conjunction with the Risk Manager to manage claims, and implements safety improvements;
  • Evaluates and recommends new vehicles, equipment, and fleet management technologies;
  • Performs related tasks as required.
  • Knowledge of vehicle maintenance practices and transportation regulations;
  • Knowledge of the principles, practices, and techniques of fleet administration;
  • Knowledge of contract management;
  • Knowledge of principles and practices of budget administration;
  • Strong analytical, organizational, and problem-solving skills;
  • Proficiency in fleet management software and Microsoft Office tools;
  • Excellent communication and leadership abilities;
  • Ability to analyze data and build informative reports;
  • Ability to communicate clearly and effectively, both orally and in writing;
  • Ability to establish and maintain effective working relationships with other employees, officials, vendors, and the public.

Any combination of education and experience equivalent to high school diploma and 5 years of experience in fleet management, transportation, or logistics operations.

Preferred Qualifications

  • Certification in fleet management such as Certified Automotive Fleet Manager (CAFM) from the NAFA Fleet Management Association.
  • Experience managing large commercial fleets or multi-location operations.
  • Knowledge of GPS tracking systems and telematics platforms.
