Job Description

As an HR Administrative Coordinator, you will maintain a high level of confidentiality and integrity while providing operational and administrative support to the Human Resources department Talent Team, with a primary focus on coordinating talent acquisition and onboarding-related activities. The ideal candidate is personable, approachable, detail-oriented, responsive, has a passion for delighting customers, maintains an enthusiastic and encouraging demeanor, enjoys puzzles, demonstrates a spirit of service, has a can-do attitude, thrives in a fast-paced and operational environment, and is willing to learn about Human Resources. The Coordinator works in the Human Resources department and reports to the Director, HR (Talent).

Currently, this is a remote-first position, and this position may be required to periodically work on-site at our office and the frequency would depend on the department/division's requirements. Therefore, candidates must reside within a reasonable distance to commute to our office when required.

Responsibilities

  • Coordinate scheduling of interviews (phone, virtual, and onsite) and assist with collecting interview feedback and scorecards.
  • Assist with posting job openings and maintaining required documentation for compliance purposes.
  • Support candidate communication efforts, including coordinating feedback, sending follow-ups, and updating candidate statuses in systems.
  • Assist with preparing offer documents and coordinating onboarding activities and paperwork.
  • Provide administrative support for Talent and Learning systems, including user access updates, course enrollments, and tracking attendance.
  • Perform general administrative duties such as data entry, electronic filing, and record maintenance.
  • Support compliance efforts by following established policies, procedures, and documentation requirements.
  • Maintain confidentiality of employee and candidate information.
  • Respond to inquiries from shared HR inboxes and route questions to appropriate team members as needed.
  • Ensure documentation is organized, filed, and retained according to company policies.
  • Use HR systems and technology tools to complete assigned tasks accurately and efficiently.
  • Assist with internal HR initiatives and company events as needed.
  • Participate in team meetings and follow direction on assigned tasks and projects.
  • Communicate effectively with team members and escalate issues or questions when appropriate.
  • Demonstrate willingness to learn, support team needs, and take on new administrative tasks as assigned.

Qualifications

  • 2 years of professional administrative support experience or HR administrative experience in a corporate setting.
  • Demonstrated ability to provide strong customer service and work effectively in a team environment.
  • Ability to interact professionally with employees and candidates at various levels of the organization.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Stay organized and manage multiple tasks with attention to detail.
  • Meet deadlines in a fast-paced, high-volume environment.
  • Follow established processes and work both independently on assigned tasks and collaboratively with team members.
  • Learn and use new systems and technology tools effectively.
  • Strong organizational skills and attention to detail.
  • Effective interpersonal, written, and verbal communication skills, including active listening.
  • Basic understanding of HR processes, employment laws, and Equal Employment Opportunity requirements, or willingness to learn.
  • Proficiency in Microsoft Office (especially Outlook), including calendar management and scheduling.
  • High School or GED. A combination of education and experience including military service will also be considered.
  • Must live within a commutable distance to Herndon, VA.
  • Must be currently authorized to work in the United States on a full-time basis. We do not intend to sponsor external applicants for work visas, and may consider sponsorship only if no qualified candidates can be found who are authorized to work without sponsorship.
  • Must be at least 18 years old.

Additional Desired Requirements:

  • ClearCo ATS, DocuSign or a similar digital signature application, Adobe Acrobat Pro, SharePoint, SparkHire or similar video interviewing platform, Learning Management Systems, and meeting scheduling software such as Microsoft Teams and Outlook.
  • An active industry recognized HR certification, such as an aPHR, PHR, or SHRM-CP.
  • Knowledge of HR administrative processes and procedures, especially in a role supporting the talent acquisition department.
  • Familiarity with federal, state, and local employment laws and regulations.
