Billing Specialist

About the role: The Billing Specialist supports core accounting operations with a focus on client billing (U.S. and Canada), and project setup. This role fosters relationships with project managers, oversees project set up and billing, interprets contracts, identifies discrepancies, and analyzes project financial data. The Billing Specialist collaborates with internal stakeholders to ensure and maintain accurate budget and billing and supports core accounting operations.

• Coordinate with project managers to ensure billing accuracy and reviews invoices for completeness and accuracy and identifies if additional information is needed.
• Ensure contractual compliance by thoroughly reviewing and interpreting project agreements to support accurate invoice submissions and proper documentation standards.
• Collaborate with project managers to ensure accurate budget and billing setup
• Supports subsidiary billing and tax compliance
• Create and maintain project records in the accounting system
• Review and interpret project reporting and relay variance issues with project managers
• Resolve client billing inquiries through clear, professional communication, maintaining strong client relationships while addressing discrepancies
• Assist with other duties commensurate with the billing specialist role.
• Must possess a valid driver's license and maintain a clean driving record; position requires operating a company or personal vehicle during work hours for business-related travel

• High school diploma or equivalent
• Proficient in Microsoft Office Suite or similar software
• Understanding of revenue recognition and basic accounting principles
• Demonstrate exceptional productivity and reliability to get the job done accurately and timely
• Demonstrate attention to detail, organizational skills and time management skills

Preferred, not required:

• Experience with billing practices preferred
• Associate or bachelor’s degree in accounting or business administration from an accredited institution.

Compensation and Benefits: Salary depends on experience and expertise. Compensation includes a comprehensive fringe-benefits package. RESPEC is a 100 percent employee-owned company, and employees are eligible for participation in the Employee Stock Ownership Plan (ESOP) after a qualifying period.
