Job Description
We are seeking a proactive Program Coordinator to support the daily operations of a behavioral sciences firm headquartered in Reston, VA. This role is essential for improving process consistency and ensuring programs run smoothly across various service lines. The ideal candidate will balance high-volume scheduling, project coordination, and the development of client-ready materials while adapting to shifting priorities in a fast-paced environment.
Location: Reston, VA
Schedule: Mon – Fri, 9:30 AM – 5:30 PM (flexible start times as early as 6:30 AM may be required)
Compensation: $58,000K-$64,000K
Key Responsibilities
- Provide hands-on operational support across the business by balancing strategic tasks with day-to-day administrative workflows.
- Manage and coordinate multiple high-volume calendars for internal staff and clients while proactively resolving scheduling conflicts.
- Own assigned projects from start to finish by tracking timelines, following up with stakeholders, and ensuring all deliverables are completed.
- Support basic financial tasks including invoicing, billing coordination, and tracking payments to ensure timely collection.
- Standardize and maintain company templates and materials to ensure all client-facing documents are professionally formatted and consistent.
- Attend meetings or support operational needs that may occasionally occur outside of a typical work schedule.
Qualifications & Skills
- 3-7 years in an Administrative or operations role
- Proven experience managing multiple calendars and competing priorities within an administrative or operations role.
- Strong organizational skills and sharp attention to detail in all operational tasks and communications.
- Proficiency in Microsoft 365, specifically including Outlook, Excel, PowerPoint, and CoPilot.
- Excellent written and verbal communication skills for maintaining professional interactions with clients and stakeholders.
- Ability to work independently, take ownership of responsibilities, and anticipate organizational needs without constant direction.
- Willingness to identify and implement process improvements to increase overall workflow efficiency.
- Capacity to maintain strict confidentiality and professionalism when handling sensitive information.
