AP & AR Specialist

As part of the accounting team, you will help manage financial operations critical to the company’s growth and success.

Role and Responsibilities:

The AP/AR Specialist is responsible for managing both outgoing payments and incoming revenue, ensuring accurate, timely, and compliant financial transactions. You will play a key role in both accounts payable and accounts receivable, reconciling accounts, and maintaining accurate financial records.

• Receive, review, and verify invoices, matching them to purchase orders and ensuring management approval.
• Code and enter invoices into the accounting system and schedule/process payments accurately.
• Maintain vendor records and professional communication to resolve inquiries, discrepancies, or disputes.
• Assist with sales tax and other tax filings, ensuring compliance and proper documentation.
• Track and reconcile accounts receivable, apply payments to appropriate accounts, and ensure timely deposits.
• Reconcile daily bank activity, including vendor payments, club POS revenue, and member billing deposits.
• Produce cash position reports to forecast funding needs and monitor outstanding receivables.
• Make month-end accounting adjustments, assist with month-end and year-end closings, and support audits.
• Identify process inefficiencies, recommend improvements, and implement best practices.
• Communicate with management on issues affecting cash flow, liabilities, or unpaid invoices.
• Maintain compliance with company policies, procedures, laws, and regulations.
• Perform administrative tasks and other duties as assigned, demonstrating a commitment to the company’s core values.

Required Skills and Experience:

• Associate’s Degree in Accounting, Finance, or a related field.
• Experience working in accounting or finance roles, specifically in AP and AR functions.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Excellent analytical, problem-solving, and numerical accuracy skills.
• Strong attention to detail, organizational, and time management skills.
• Professional demeanor with well-developed communication skills.
• Ability to work independently and collaboratively, maintaining composure in challenging situations.
• Willingness to learn, follow directions, and maintain confidentiality of financial data.

Preferred Qualifications

• Experience with club management or POS systems for revenue tracking.
• Knowledge of sales tax filings and compliance procedures.
• Previous experience in process improvement or accounting automation tools.
