Job description

Reporting to the Senior Manager, Community Impact and Engagement, the Event Manager will serve as the lead organizer for Sports Day The Girls Way, overseeing the planning, coordination, and execution of the event. Working closely with OSEG Foundation staff and community partners, the Event Manager will be responsible for developing and managing the event work plan, coordinating stakeholders, securing and supporting activity stations and athletes, and ensuring a high-quality participant experience from event planning through post-event evaluation.

Sports Day The Girls’ Way is a one-day event designed to empower girls through sport and physical activity. Girls are less likely than their male peers to participate in and remain involved in sport due to barriers such as limited access, fewer opportunities, and a lack of visible female role models. Through a fun, inclusive, and welcoming environment, participants have the opportunity to try new sports, build confidence, make friends, connect with role models, and discover pathways to continued participation in sport.

This part-time, fixed term role has an hourly rate of $40/hr. This is a temporary position and offers a hybrid work arrangement. This position’s term is August 10, 2026, to October 23, 2026 (up to 15 hours per week / 11 weeks). Applicants must be available event day on Monday, October 19, 2026.

What you’ll do:

Event Planning and Coordination

  • Lead the overall planning and execution of Sports Day The Girls’ Way.
  • Develop and maintain event work plans, timelines, run sheets, and planning documents.
  • Coordinate event logistics including venue requirements, equipment, supplies, signage, and participant flow.
  • Identify, recruit, and communicate with athletes, role models, sport organizations, facilitators, and community partners.
  • Coordinate activation stations, sport experiences, and event programming.
  • Lead planning meetings with OSEG Foundation staff and key partners.

Stakeholder and Partner Management

  • Serve as the primary point of contact for participating sport organizations, athletes, facilitators, and community partners.
  • Collect and organize required information and materials from partners, including biographies, photos, logos, schedules, and activity details.
  • Collaborate with communications staff to support participant and partner communications.

Registration, Administration and Evaluation

  • Support school registration processes and monitor registration.
  • Maintain accurate event records, contact lists, and planning documentation.
  • Support the development and administration of participant surveys and evaluation tools.
  • Collect participation data and assist with post-event reporting and impact measurement.

Event Day Leadership

  • Lead event-day operations, including setup, volunteer coordination, troubleshooting, and teardown.
  • Coordinate athletes, facilitators, partners, volunteers, and vendors on-site.
  • Ensure a safe, welcoming, and organized event environment.
  • Act as the primary operational lead throughout the event.

  • Completion of post secondary degree or diploma in a related field.
  • Experience planning and delivering events, preferably community, sport, youth, or recreation events.
  • Strong project management and organizational skills.
  • Experience coordinating multiple stakeholders and competing priorities.
  • Ability to work independently and take initiative.
  • Ability to thrive and problem-solve in a fast-paced environment.
  • Ability to prioritize tasks, meet deadlines and achieve quality results.
  • Strong communication skills, both verbal and written.
  • Ability to meet the physical requirements of the position including standing/walking/climbing stairs and moving equipment for extended periods of time.
  • Valid drivers license and access to vehicle is an asset.
  • Bilingualism in English and French is considered an asset.
