Overview
Supporting the Vision, Values, Purpose, and Commitment of Olive Fertility Centre:
This position supports our Reproductive Endocrinology and Infertility (REI) specialists and their nursing teams in the recovery area. You will be responsible for delivering the highest level of customer service to Olive patients. This full-time position requires a motivated, energetic, self- directing individual able to work in a busy, professional, multi-tasking environment. You are required to provide exceptional patient centred care in a friendly, calm, personable manner and be able to work accurately and efficiently while interacting effectively and in a supportive manner to all Olive’s diverse patients.
Key Areas of Involvement Include:
· Receive patient phone calls, voicemails, and emails, triaging to appropriate team members.
· Chart preparation for Oocyte retrieval and embryo transfer patients.
· Coordinate missing consents and import from EMD.
· Coordinate missing ID Blood Work (IDBW) required for procedures.
· Circulating patients from reception to recovery bays and giving instructions until a nurse sees patients.
· Ensure accurate recording of patients on location board.
· Chart preparation for intralipid, OHSS, and cyst drain patients.
· Perform vitals on patients undergoing physicals.
· Take height & weight on patients when needed.
· Maintain the recovery area supplies.
· Assist with preparing patients for hysteroscopies, diagnostic exams, and endometrial biopsies.
· Assist the Nursing Office Assistant - IVF Teams with IDBW and consents.
· Nursing Office Assistant holiday & sick time coverage.
· Document Management as needed to assist Administration overflow.
· Other administrative duties based on operational needs.
· Daily Consent Checks of the following:
o Daily Trigger List.
o Upcoming Egg Retrievals (OPUs).
o CPERs for the following three (3) calendar days.
o IUI procedures for the following day.
o Any special procedures, such as Egg Thaw or PESAs scheduled for that week.
o Instruct Nurses to resend consents showing discrepancies to patients and following up with a phone call to ensure timely completion of consents.
o Answer daily queries from the Laboratory regarding consent issues and follow up accordingly.
o Maintain tracking sheet, identifying types of errors, including record of major errors and notifications of error protocol.
o Check in and communication with The Fertility Partners Legal team when errors need to be escalated or need clarification.
o Escalate major errors to the Doctor on Record or Doctor on Call when necessary and manage follow up accordingly.
· Member of the Olive Consent Task Force.
· Other duties as needed.
Qualifications
Education, Training and Experience:
- Graduation from Grade 12 and completion of Medical Office Assistant certificate program
- Five years’ work experience in a specialist’s office scheduling multiple types of appointments
- Five years’ experience working collaboratively with other healthcare professionals within a medical Facility.
Skills and Abilities:
- Ability to work quickly and accurately in all areas of responsibility.
- Ability to anticipate patients’, nurses’, and physicians’ needs.
- Demonstrated ability to organize and prioritize work in an environment subject to changing deadlines, stress, and interruptions.
- Ability to communicate effectively both verbally and in writing.
- Proven professional, positive attitude in all aspects of work.
- Ability to remain aware of other team members and to adjust workload to assist when required.
- Ability to work independently and as a member of a multi-disciplinary team.
- Broad knowledge of computerized database programs including EMR software.
- Proficient in the use of personal computers and applicable software applications.
- Physical ability to carry out all duties of the position.
