Job Description

Every shipment is a deadline - and compliance is non‑negotiable. In this role, you’ll be one of our go‑to experts ensuring our Canada/USA/Japan security and customs filings are accurate, on time, and accepted - so shipments move smoothly and we avoid costly penalties and delays. You’ll work closely with overseas offices, local operations/booking teams, co‑loaders, and systems partners to troubleshoot issues fast and prevent repeat errors.

Reporting to the Director Corporate Standards & Quality Assurance, the E-Manifest & Customs Filing Coordinator is responsible for ensuring accurate, timely customs and security filings (Canada, USA, Japan) to avoid shipment delays and penalties. Acts as the key compliance contact between overseas offices, operations teams, co‑loaders, and government systems.

Term: 18‑month contract with opportunity for permanent employment

Work Location: Onsite (limited hybrid flexibility may be discussed)

Key responsibilities

  • Review shipment documents and file/validate eManifest, ACI, ISF 5 & 10+2, AMS, MPCI, JP24 within prescribed timelines.
  • Investigate rejected filings, correct and resubmit to CBSA, and provide feedback to prevent repeat errors.
  • Coordinate urgent or corrective filings on behalf of overseas offices when required.
  • Manage amendments (CCN updates, piece count changes, HBL splits, cancellations, weight/CBM changes) and ensure accepted status with CBSA.
  • Liaise with CBSA, filing platforms (e.g., Descartes/Vilden), IT, co‑loaders, and operations teams to resolve issues quickly.
  • Track non‑compliant filings, maintain audit trails, and escalate risk or penalty exposure to management.
  • Support training and guidance for overseas and internal teams on proper eManifest protocols.

Qualifications

  • Experience in freight forwarding, NVOCC, or international logistics compliance.
  • Hands-on familiarity with eManifest/ACI/ISF/AMS filing workflows and rejection handling.
  • Strong knowledge of air and ocean import/export operations and customs compliance regulations
  • Highly detail‑oriented, accountable, and comfortable working in a deadline‑driven environment
  • Proficient with customs filing systems, TMS platforms, web portals, and email‑based workflows
  • Excellent written and verbal communication skills with a strong customer‑service orientation
  • Able to remain calm, courteous, and solution‑focused in high‑pressure situations
  • Well organized, with the ability to manage priorities effectively in a high‑volume setting
  • Strong teamwork and relationship‑building skills across departments and international offices
  • Reliable responder with a consistent track record of timely follow‑up and issue resolution

  • Exposure to filing platforms/webservers (e.g., Descartes/Vilden) and TMS environments.
