We're looking for an organized, proactive, and creative Experiential Event Coordinator to join our team. This role is ideal for someone with 2–3 years of experience in experiential marketing or event production who thrives in a fast-paced environment and is eager to grow their career in event production.

About the Role

As our Experiential Event Coordinator, you will work closely with our Lead Producer, supporting the planning and execution of multiple experiential marketing campaigns and events simultaneously.

You'll play a critical role in keeping projects organized, coordinating vendors, managing timelines, sourcing event elements, supporting creative development, and ensuring every detail is executed to the highest standard.

This is a highly collaborative role that requires someone who is equally comfortable managing spreadsheets, communicating with vendors, organizing logistics, and contributing to the creative vision behind premium brand experiences.

Key Responsibilities

Project Coordination

  • Support the Lead Producer in the planning and execution of experiential marketing campaigns and live events
  • Maintain detailed project timelines, workback schedules, and production trackers
  • Monitor deadlines, approvals, and project milestones
  • Follow up with internal team members, vendors, and clients to ensure projects remain on schedule
  • Prepare meeting agendas, capture detailed meeting notes, and distribute action items
  • Keep project documentation organized and up to date

Creative & Design Support

  • Assist with the development of presentation decks, mood boards, and creative concepts
  • Research and source décor, furniture, props, rentals, venues, and experiential elements
  • Support creative brainstorming and concept development
  • Ensure presentations and design materials align with client brand guidelines and Nulink's quality standards
  • Maintain a strong attention to visual detail and premium brand aesthetics

Vendor & Production Coordination

  • Source vendors and obtain competitive quotes
  • Coordinate vendor communications and production schedules
  • Track contracts, purchase orders, invoices, and production documentation
  • Coordinate deliveries, pickups, shipping, receiving, and inventory management
  • Assist with venue research and production logistics
  • Support fabrication, printing, signage, rental, and installation coordination

Event Execution

  • Support on-site installations, event execution, and strike
  • Assist with vendor management during event days
  • Help troubleshoot production challenges alongside the Lead Producer
  • Ensure event materials, signage, rentals, and supplies are organized and ready for execution
  • Support with event material shipping, receiving, returns

Qualifications

We're looking for someone who has:

  • 2–3 years of experience working in experiential marketing, event production, brand activations, or live events
  • Experience supporting branded consumer events, pop-ups, corporate events, or experiential campaigns
  • Exceptional organizational skills and strong attention to detail
  • Excellent project management and time management abilities
  • Strong written and verbal communication skills
  • The ability to manage multiple projects and competing priorities simultaneously
  • A proactive, resourceful, and solutions-oriented mindset
  • Confidence working independently while collaborating closely with a team
  • Strong proficiency with Google Workspace (Docs, Sheets, Slides) and project management software

What Will Make You Stand Out

  • Experience working within an experiential marketing agency or brand events
  • Strong understanding of luxury, lifestyle, beauty, fashion, or consumer brand aesthetics
  • An eye for design, styling, and visual presentation
  • Experience creating presentation decks, mood boards, or sourcing creative elements
  • Knowledge of event production processes including rentals, fabrication, print production, and logistics
  • Confidence communicating with clients, vendors, suppliers, and production partners

Requirements

  • Valid Ontario G Driver's Licence
  • Access to a reliable personal vehicle
  • Comfortable travelling throughout the GTA for meetings, installations, pickups, and event days
  • Available to work occasional evenings and weekends during event periods and travel for occasional events across country

  • The Lead Producer has the support needed to focus on client relationships, creative direction, and overall project leadership
