OVERVIEW
We are seeking a detail-oriented and operationally strong Payroll Operations Specialist to support payroll processing, payroll audits, reporting, and payroll-related client support for our PEO and payroll clients.
This role is focused on payroll execution, accuracy, and internal operational support. The Payroll Operations Specialist will help ensure payrolls are reviewed, processed, reconciled, and supported in a timely and compliant manner.
This role may communicate with clients by email to clarify payroll items, request missing information, or provide payroll-related follow-up. However, Customer Success remains the primary owner of the overall client relationship, recurring client meetings, escalations, and broader client experience.
This position works closely with Customer Success, Benefits, Tax, Engineering, and internal Payroll Operations teams to resolve payroll issues, support client payroll cycles, and improve internal processes.
CPP or FPC certification preferred.
KEY RESPONSIBILITIES
- Process and support payrolls for PEO and payroll clients in accordance with established deadlines.
- Review and audit payroll data for accuracy, including hours, earnings, deductions, taxes, benefit deductions, reimbursements, adjustments, and employer costs.
- Review payroll previews, variance reports, payroll registers, deduction reports, and related payroll outputs before finalization.
- Investigate and resolve payroll discrepancies related to pay, taxes, deductions, benefits, reimbursements, retroactive changes, and adjustments.
- Support off-cycle payrolls, manual adjustments, corrections, and special payroll requests.
- Communicate with clients by email as needed to clarify payroll items, request missing information, or provide payroll-related follow-up.
- Partner with Customer Success on client-reported payroll issues by researching root cause and providing accurate findings.
- Collaborate with Benefits to ensure benefit deductions and payroll impacts are accurately reflected.
- Assist with payroll tax setup monitoring, including identifying new state tax requirements and coordinating updates when applicable.
- Process and report new hires to the appropriate state agencies.
- Review and publish payroll invoices
- Audit monthly client payroll invoices and support payroll-related reconciliations.
- Support Canada and US EOR payroll processing and EOR salary updates as needed.
- Maintain accurate payroll notes, audit trails, task updates, and internal documentation.
- Help build and maintain payroll SOPs, checklists, and knowledge base resources.
- Identify workflow gaps and recommend process improvements to improve accuracy, efficiency, scalability, and client experience.
- Assist with special projects, reporting, audits, and process improvement initiatives as needed.

REQUIREMENTS
- At least 2 years of payroll operations experience, preferably in a PEO, payroll provider, or multi-client payroll environment.
- Strong understanding of payroll processing, payroll taxes, deductions, benefit deductions, wage compliance, and payroll adjustments.
- Experience reviewing and auditing payroll data for accuracy.
- Ability to investigate payroll discrepancies and provide clear documentation and findings.
- Strong attention to detail and ability to meet payroll deadlines.
- Ability to communicate professionally with clients by email when needed.
- Experience working with payroll systems, payroll reports, internal ticketing systems, or task management tools.
- Ability to work cross-functionally with Customer Success, Tax, Benefits, Engineering, and Payroll Operations teams.
- CPP or FPC certification preferred, but not required.
