Job description

We are looking for an organized, tech-savvy Program & Training Coordinator!

If you thrive on keeping things organized, detail oriented, have a positive attitude with exceptional administrative and technology skills, we want to meet you! We are looking for a tech-savvy, highly organized, strong communicator who can manage multiple priorities in a fast-paced environment.

What you will do:

Administrative & Executive Support

  • Perform administrative duties including document preparation, filing, correspondence, and reports.
  • Assists in the administrative aspects of national and local matters pertaining to the Office of the National VA Council President.
  • Maintain calendar of the Council President/designee, as well as the entire staff regarding conference calls and meetings. This is the ensure efficient utilization of time.
  • Monitor project timelines and provide administrative support to ensure deadlines are met.
  • Answer and direct incoming calls and email inquiries in a professional and courteous manner.
  • Back up for communicating demands to bargain information to District Representatives per the President.
  • Ensure proper documentation is received for newly elected District Representatives and provide NVAC policies, descriptions, and procedures to those elected.
  • Maintain all directories, phone logs, committee lists, and any other contact lists to ensure up to date and accurate.
  • Perform other duties as assigned by the NVAC President.

Meeting & Conference Coordination

  • Schedule, coordinate, and manage virtual meetings using Microsoft Teams, Zoom, or other online collaborative platforms.
  • Create meeting invitations, distribute agendas and supporting materials in a timely manner for monthly Legal Training, monthly Title 38 calls, or other meetings as assigned.
  • Prepare, record, and distribute accurate meeting minutes and action item summaries.
  • Provide support and coordination for specially called conferences or events.
  • Helps prepare for and attends National Council Conventions, Legislative Conferences or other select events if assigned by the President, and assists with materials preparation, scheduling, and logistics as directed.

Training & Educational Support

  • Develop and provide training, coordinating access to various educational platforms for the local union officials and executive committee members.
  • Generate reports and survey data for virtual and in-person training.
  • Support communication efforts through email distributions, surveys, and participant outreach.
  • Some travel is required.

Technology & Systems Administration

  • Utilize Microsoft Office 365 applications including Outlook, Word, Excel, PowerPoint, Teams, and OneDrive.
  • Create, maintain, and update spreadsheets using Microsoft Excel and Google Sheets.
  • Develop and update standard operating procedures (SOP).
  • Support the administration of survey platforms and online data collection tools.
  • Serve as back up for Communications Department (President’s Briefing and NVAC Website)
  • Maintain electronic filing systems and ensure proper organization of digital records.
  • Maintain our website events calendar to ensure it is up to date.
