Job Summary

The NMA is currently conducting a search for a full-time Administrative Specialist in the association’s headquarters in Washington D.C. The Administrative Specialist assists the Office of the President in achieving the policy goals of the association by supporting the President & CEO, the Executive Vice President & COO, as well as the rest of the department on any and all relevant tasks. In this role, the Administrative Specialist may handle confidential matters for the President & CEO and matters related to association management and Board of Directors level communications.

Responsibilities

  • Assist the President & CEO, Executive Vice President and other members of the department with administrative support, managing calendar and scheduling meetings.
  • Review, proofread and send communiques and memos to Board of Directors, Executive Committee and other committees via an electronic database.
  • Work with Membership Services to assist in maintaining updated NMA Board of Directors roster, Executive Committee roster, Audit & Finance and Officers of the Association.
  • Coordinate in-office meetings, lunches, calendars, logistics.
  • Coordinate with staff on agenda, materials, and all relevant information related to regularly scheduled member meetings.
  • Send invitations, track RSVPs, manage agenda, link relevant materials, and put together packets for relevant meetings.
  • Complete reports such as quarterly lobbying hours reports, expense and mileage reports.
  • Assist in projects that require all-hands-on-deck (e.g., board meetings, association-wide events, receptions, MINExpo®).
  • Assists with any other tasks as assigned by President & CEO and senior management team.

Required Education, Skills and Experience:

High School Diploma preferred

  • Association experience highly recommended, business management skills a plus and attention to detail required.
  • Ability to anticipate/be sensitive to the needs of the President & CEO and senior staff.
  • Ability to keep information confidential.
  • Conduct self in a manner that professionally represents the President & CEO and NMA.
  • Ability to work professionally and cooperatively with members, government officials, and government agencies as well as other associations.
  • Excellent interpersonal/external communication skills.
  • Highly organized, high level of attention to detail.
  • Proficient with MS Office application.
  • Ability to trouble-shoot and problem solve; be the go-between
  • Willingness to adjust hours to accommodate after-hours/and or weekend programs and events.
  • Comfortable working in a fast-paced environment, with the ability to multi-task and adapt quickly to changing priorities.

Physical Demands:

  • This position requires the ability to remain in a stationary position (standing and/or seated) more than half the time.
  • The person in this position must be able to maneuver (lift, move, carry, slide, etc.) less than 15 lbs.
  • This position requires the ability to spend most of the time viewing computer monitors.

NMA provides a robust benefits package that includes medical, dental, and vision insurance as well as life and disability coverage. Additionally, employees receive commuter benefits to help with parking or public transportation costs. NMA also offers paid time off, sick leave, and holidays.
