Job description
Summary
Under general direction, perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures.
Primary Responsibilities
Anticipate and initiate administrative functions while coordinating departmental activities and projects. Independently resolve routine and complex inquiries with attention to detail, sound judgment, and discretion.
Compose, proofread, and format correspondence, reports, presentations, and other documents, including confidential materials. Maintain HIPAA confidentiality of department and patient information.
Utilize Epic, Book It, Excel, PowerPoint, Outlook, Word, and other software applications to prepare documents, maintain records, and support administrative operations.
Manage patient and provider telephone inquiries, resolve routine questions, relay information, and take appropriate messages while exercising discretion.
Utilize Epic/Book It to schedule and reschedule patient appointments, diagnostic testing, and surgical procedures.
Coordinate schedules, meetings, appointments, travel arrangements, and related administrative activities.
Compile data, prepare reports and meeting materials, and maintain accurate records and databases, including physician curriculum vitae updates.
Process and track payment requests, requisitions, invoices, and reimbursement documentation.
Assist with departmental projects and special initiatives by coordinating activities, tracking progress, and providing updates.
Collaborate with administrative team members and provide backup coverage as needed.
Perform other duties as assigned.

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.
Organization, time management, interpersonal, communication, and problem-solving skills.
Qualifications
Appropriate experience may be substituted on equivalent basis.
Minimum Required Education: High school diploma
Minimum Required Experience: 5 years of experience
Preferred Education: Associates
Preferred Experience: Healthcare

Physical Requirements
Work requires occasionally lifting moderate weight materials, standing, or walking continuously.
Work Environment
Occasional exposure to dust, noise, temperature changes, or contact with water or other liquids. Work is performed in an environmentally controlled environment.
Sensory Acuity
Ability to detect and translate speech or other communication required. May occasionally require the ability to distinguish colors and perceive relative distances between objects.
