Position Summary: Reporting to the Associate Director, Budget Efficiencies, the incumbent is responsible for providing a high level of organizational, finance and administrative support, adhering to the Service Level Agreement for the clients of James Shared Services (JSST). The incumbent will function with an exceptional level of accuracy, independence, confidentiality, and efficiency. The incumbent is also responsible for the operational functioning of the office. Primary Responsibilities: Establish and maintain effective working relationships by identifying client needs and providing high‑quality support to JSST clients. Assess issues and formulate recommendations to resolve them. Review, verify, and prepare journal entries, budget transfers, deposits, invoices, and related financial transactions. Assist in determining financial priorities by monitoring clients’ financial transactions and resource usage. Work independently, at the request of the Finance Officer, to resolve a variety of financial matters and follow up as required. Organize and perform JSST activities to support the daily operations of the unit, ensuring accounting functions are completed in accordance with established goals and objectives, and exercising judgment on urgent or sensitive matters. Prepare financial reports and monthly documentation for JSST clients and other stakeholders. Administer funds held by units within James Shared Services in adherence to accounting policies and procedures. Verify and reconcile accounting and financial records, fund reports, expenditures, and budgets. Provide general guidance on finance‑related issues, processes, and applications. Follow up on decisions made by the Finance Officer and ensure their proper implementation. Review outstanding items and take necessary action. Maintain computerized financial and accounting systems and contribute to their implementation and development to enhance unit efficiency. Create and maintain databases and spreadsheets to support financial operations. Perform various administrative tasks and attend meetings as required to support JSST activities. Ensure compliance with financial policies and procedures by communicating updates to clients and monitoring adherence across all financial activities. Other Qualifying Skills and/or Abilities High level of operating fund knowledge. Must be customer service-oriented and able to analyze and resolve complex financial issues and recommend solutions. High degree of financial analytical skills as well as flexibility in managing multiple tasks, with the ability to prioritize and meet deadlines. Strong interpersonal skills. Excellent communication skills Demonstrated ability to work in a PC environment using word-processing, spreadsheets Demonstrated experience with University budget processes and year end procedures including trend forecasts. Must be able to work in a fast-paced demanding environment.
