Job description
We have an opening for an Administrator to work in a dynamic and fast-paced environment within the Office of Laboratory Oversight (OLO) within the Director’s Office. You will provide administrative and operational solutions to the Office of Laboratory Oversight, including the Mission Integrity, Mission Assurance, and Employee Concerns Program teams. This position supports OLO senior leadership through high-level coordination, project coordination, confidential document preparation, hiring support, process improvement, stakeholder engagement, and technical support. The role requires independent judgment, strong organizational skills, and the ability to manage multiple complex priorities in a highly visible and sensitive environment.
This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one day per week.
You will
- Assess and implement administrative, operational and project coordination requirements in support of OLO leadership and Mission Integrity.
- Serve as a point of contact for the OLO Director, including independently setting priorities when committing their time; organize and coordinate complex and often confidential calendars, including on- and off-site meetings.
- Coordinate and lead projects, including website maintenance and updates, cross-functional initiatives, and team events, ensuring projects are completed on time, within scope, and aligned with organizational goals.
- Manage hiring workflows, including job postings, interview scheduling, candidate coordination, ranking sheet compilation, job offers, and onboarding.
- Contribute to preparation, review, and distribution of confidential correspondence, reports, presentations, and other sensitive documents.
- Plan and coordinate events, site visits and meetings, including interactions with internal and external stakeholders, Laboratory Management, DOE, NNSA, auditors, and ethics-related groups and department leadership.
- Contribute to monthly budget review activities, including information validation and tracking support.
- Identify opportunities for process improvement and implement solutions that improve efficiency and compliance.
- Provide basic technical support for common office IT issues, Microsoft Office applications, SharePoint, and forms.
- Provide working supervision, guidance, and training to an administrative specialist as assigned.
- Perform other duties as assigned.
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
- Associate’s degree in a business-related field, or an equivalent combination of education and related experience in a business, operational, organizational, events, outreach, communications support, or administrative area.
- Experience providing advanced administrative or operational support to managers and interpreting and applying policies and procedures in a complex organizational environment.
- Demonstrated ability to independently prioritize and manage multiple complex and frequently shifting assignments, assess issues, exercise sound judgement, and implement effective solutions.
- Excellent interpersonal, written and verbal communication skills with strong customer skills and the ability to work effectively with a wide range of stakeholders.
- Demonstrated discretion in handling confidential and highly sensitive information.
- Experience supporting hiring processes and working with HR systems or recruiting tools.
- Advanced computer skills in Microsoft Office applications, SharePoint, and related business tools, including preparation of spreadsheets, reports, presentations and correspondence.
- Strong problem-solving, coordination, and organizational skills.
Qualifications We Desire
- Familiarity with LLNL's policies and procedures.
- Experience supporting senior leaders or director-level management.
- Experience with records management, compliance processes, and policy interpretation.
- Experience with website administration, document layout, and process improvement efforts.
- Experience coordinating external audits, committee support, or formal site visits.
- Knowledge of LLNL business applications and processes such as SmartRecruiters, LEAP, TIME, EAM, LTRAIN, ePay, Cliqbook, DevonWay and LabWatch.
- Experience providing lead direction, training, or work coordination to support staff.
Pay Range
$94,560 - $115,728 Annually
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.

Sensitive Compartmented Information Facilities require separate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
