Role Summary

The Executive Sales and Operations Coordinator is a key internal role that supports the connection between sales execution, operations, customer service, reporting, and account management.

This role is designed for someone who understands the pace of the business, can manage multiple moving parts, and can help keep the sales team, operations team, and customer-facing processes aligned. The role works closely with the Inside Sales Representative while taking ownership of higher-level coordination, reporting, process support, issue management, and sales operations follow-through.

This is an office-based role with no hybrid work. The successful candidate will be highly organized, detail-oriented, proactive, and comfortable supporting both day-to-day execution and broader sales operations priorities.

Role Responsibilities

  • Manage NA and substitution communication and follow-through
  • Support back order management, customer updates, and internal coordination
  • Assist with contract analysis, contract updates, and related reporting
  • Support credit and return processes, including documentation, follow-up, and communication
  • Work in tandem with the Inside Sales Representative to support daily sales activity
  • Provide support for inside sales processes, customer follow-up, and order-related needs
  • Validate sales reports, margin reports, and other internal reporting
  • Assist with margin tracking, margin analysis, and margin-related follow-up
  • Support sales reporting, management reporting, and KPI tracking
  • Maintain and update price levels as required
  • Support Legends Haul app training for customers and internal users
  • Assist with Legends Haul app functions, troubleshooting, updates, and customer adoption
  • Provide marketing support related to product launches, promotions, campaigns, and customer communication
  • Assist with customer onboarding, account maintenance, and required documentation
  • Support clear communication between sales and operations
  • Provide sales team vacation coverage when required
  • Assist with prospecting, cold calling, and new customer engagement
  • Support butcher shop price list creation, updates, and maintenance
  • Assist with promotional and campaign planning, tracking, customer outreach, and follow-up
  • Make retail sales calls when time permits or when business needs require
  • Help identify account risks, process gaps, pricing issues, and customer follow-up needs
  • Communicate customer feedback, account updates, and operational issues to the appropriate team members
  • Participate in sales meetings, planning sessions, and internal check-ins as required
  • Follow all company procedures, values, policies, and safety requirements
  • Complete other duties as assigned by management

Role Qualifications

  • Experience in sales support, inside sales, customer service, sales operations, food distribution, grocery, retail, foodservice, or a related role is an asset
  • Strong understanding of internal sales processes, customer support, order flow, pricing, reporting, and account maintenance
  • Experience working with reports, spreadsheets, order-entry systems, CRM, ERP, or customer platforms is an asset
  • Strong Microsoft Office skills, especially Excel
  • Excellent communication, organization, and follow-up skills
  • Ability to manage recurring tasks while responding to urgent business needs
  • Strong attention to detail and accuracy
  • Comfortable working with multiple departments and balancing competing priorities
  • Interest in food, grocery, retail, foodservice, and local brands
