Position: Webinar Coordinator
Department: Operations
Location: Head Office, Zirakpur
Salary - up to 30 K CTC
Job Summary
The Webinar Coordinator & Host will be responsible for managing and hosting webinars from the Head Office. The individual will ensure seamless webinar execution by coordinating with presenters, assisting participants in joining webinars, managing technical aspects on the Zoom platform, and providing end-to-end support during live sessions. The role requires excellent communication skills, technical expertise in Zoom Webinar, and strong coordination abilities.
Key Responsibilities:
Webinar Planning & Coordination
- Coordinate with webinar presenters, doctors, trainers, and stakeholders regarding webinar schedules.
- Ensure all webinar-related activities are planned and executed as per the defined timelines.
- Coordinate with speakers regarding presentation slides, videos, and webinar agenda.
- Conduct pre-webinar checks and dry runs with presenters.
Webinar Hosting & Execution
- Host and manage live webinars on the Zoom platform.
- Create and schedule Zoom webinars as per requirements.
- Manage attendee registrations and confirmations.
- Assist participants in joining webinars and resolve technical issues related to login or connectivity.
- Monitor attendee participation throughout the webinar.
- Manage waiting rooms, attendee permissions, and audience interactions.
Technical Support
- Possess sound knowledge of the Zoom Webinar platform and its features.
- Upload and manage presentations, videos, polls, Q&A sessions, and other webinar content.
- Share screens, presentations, and multimedia content during live sessions.
- Troubleshoot audio, video, connectivity, and other technical issues during webinars.
- Ensure smooth audio-video quality and uninterrupted webinar experience.
Presenter Support
- Coordinate with speakers before and during the webinar.
- Support presenters in switching slides, playing videos, and managing session flow.
- Provide backstage support and real-time assistance during live sessions.
- Ensure speakers are properly briefed on webinar protocols and platform functionalities.
Participant Engagement
- Welcome attendees and provide webinar guidelines at the beginning of the session.
- Manage participant queries through chat and Q&A features.
- Escalate relevant questions to presenters during the webinar.
- Ensure a positive and engaging experience for all participants.
Reporting & Documentation
- Maintain records of webinars conducted, attendee counts, and feedback.
- Prepare post-webinar reports including attendance, engagement metrics, and technical observations.
- Share webinar recordings and reports with concerned stakeholders.
Key Skills & Competencies:
- Excellent knowledge and hands-on experience of Zoom Webinar Platform.
- Strong communication and interpersonal skills.
- Good presentation and public speaking abilities.
- Excellent coordination and multitasking skills.
- Ability to troubleshoot technical issues independently.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (PowerPoint, Excel, Word).
- Ability to work under pressure during live events.
Educational Qualification:
- Graduate in any discipline (Bachelor's Degree preferred).
Experience
- 1–3 years of experience in webinar management, event coordination, training coordination, or related roles.
- Prior experience in hosting online webinars/events will be preferred.
