Your Opportunity
Under the direction of the Principal, the incumbent is responsible for providing executive-level administrative support to the Principal of Woodsworth College, including but not limited to provide support in academic search process, tenure and review process, communication and outreach activities, general administrative functions, and hospitality functions.
Your Responsibilities Will Include
Applying established standards when administering academic search activities
Applying established standards when administering tenure and promotion activities
Editing content for brochures, newsletters, websites and/or handbooks
Drafting internal and external communications
Keeping well-informed on leadership commitments and priorities
Coordinating meeting schedules, agendas, materials, action and follow-up items
Handling sensitive and/or confidential information
Determining logistical details and activities for events and/or programming
Essential Qualifications
Advanced College Diploma (3 years) in Business Administration or acceptable combination of education and equivalent experience.
Minimum three years of recent and relevant experience in providing executive level of administrative support to academic senior leaders in academic search process, tenure and review process, PTR and salary process, communication and outreach activities, general administration and hospitality functions, in a fast paced and dynamic post-secondary academic institution
Experience in liaising with senior administrators and faculty members, as well as University administrators while working with University or academic processes, policies and procedures; and maintaining effective office systems and protocols
Experience drafting, editing and preparing a variety of written documents with the ability to concisely summarize information
Experience in designing and formatting documents, handouts and presentations etc.
Experience facilitating committee meetings including: agenda and document distribution, taking minutes and recording action items in the meetings
Experience in planning and coordinating event logistics, including coordinating event schedules, preparing itineraries, booking speakers, scheduling travel plans, making hotel arrangements, events setup, arranging catering and AV bookings
Experience in preparing statistical reports and summaries from data collected
Experience in maintaining and updating relevant information on digital platforms
Experience in entering and processing expense reimbursements through Concur
Experience using scheduling software to assist in the logistics of organizing meetings and events
Experience administering and managing calendars; monitoring schedules and keeping leaders up to date with upcoming events and deadlines
Strong knowledge of academic search, tenure and review process
Ability to multi-task and deal with competing deadlines effectively and deliver results with initiative and flexibility
Professional demeanor with a strong customer service orientation and effective interpersonal skills to effectively deal with faculty, staff and students and ability to be a team player while assisting and supporting other administrative areas within the department
Excellent organizational, analytical and time management skills with superior ability to oversee busy schedules
Strong verbal and written communication skills
Ability to understand, interpret and apply procedures and guidelines; coordinate information and arrangements with minimum oversight; and ability to exercise judgement and discretion in handling confidential information
Demonstrated ability to make decisions and resolve problems
Advanced skills in MS Office Suite, Office 365, Google calendar/hangout, Zoom, Drupal and Adobe Acrobat Pro with the ability to learn and effectively deploy new technology tools for office tasks
Familiarity with University academic policies & procedures
Assets (Nonessential)
University degree in Business Administration
Familiar with college system within the University.
