Job description

We are seeking a detail-oriented and proactive professional to support government contracting operations focused on the U.S. Defense Logistics Agency (DLA). The role combines daily solicitation monitoring (DIBBS), quotation preparation, AI-assisted research, and business development activities within the DLA procurement ecosystem.

This position requires accuracy, discipline, and the ability to identify opportunities while also contributing to pipeline growth through networking and strategic engagement.

Key Responsibilities

1. DLA Solicitation Monitoring & RFQ Management

  • Search daily for open solicitations on the DLA DIBBS system
  • Identify relevant RFQs using NSNs, part numbers, and technical descriptions
  • Track solicitation amendments, updates, and closing deadlines
  • Prioritize opportunities based on feasibility, margin potential, and urgency

2. Data Extraction & Quotation Support

  • Extract and structure solicitation data, including:
  • Solicitation number
  • NSN / part number
  • Quantity and delivery requirements
  • Due date / closing time
  • FOB terms and procurement details
  • Maintain clean, structured Excel or CRM tracking systems
  • Support preparation of internal quotation packages for review
  • Ensure high accuracy in all extracted technical and procurement data

3. AI Tool Usage for Productivity & Research

  • Use AI tools (e.g., ChatGPT, automation tools, data assistants) to:
  • Accelerate identification and classification of solicitations
  • Assist in interpreting technical RFQ documents
  • Structure and clean procurement data
  • Improve speed and accuracy of repetitive tasks
  • Develop efficient workflows combining DIBBS data and AI-assisted processing
  • Continuously improve productivity using digital tools and automation

4. DLA Ecosystem Networking & Market Intelligence

  • Maintain awareness of key players in the DLA and defense procurement ecosystem
  • Identify potential suppliers, subcontractors, and competitors
  • Engage (when appropriate) with industry contacts, procurement officers, and suppliers
  • Support relationship-building efforts to improve quotation success rate
  • Track market trends, pricing behavior, and recurring demand patterns

5. Business Development Support

  • Identify new opportunities beyond RFQ listing (repeat demand, long-term parts, high-volume NSNs)
  • Support pipeline development through structured opportunity tracking
  • Flag strategic opportunities with high revenue or margin potential
  • Contribute insights to improve bidding strategy and win rate
  • Assist in building long-term supplier/customer relationships in defense supply chain

6. Reporting & Performance Tracking

  • Provide daily summary of:
  • Solicitations reviewed
  • Relevant RFQs identified
  • Opportunities flagged for quoting
  • Issues, risks, or missing data
  • Maintain accurate logs of all activities in tracking systems
  • Communicate delays or procurement risks immediately

Required Skills & Qualifications

  • Strong attention to detail and data accuracy
  • Experience with procurement, logistics, or government contracting systems (preferred)
  • Ability to work with structured workflows and repetitive processes
  • Proficiency in Excel / Google Sheets

Highly Preferred Skills

  • Direct experience with DLA DIBBS, SAM.gov, or U.S. defense procurement systems
  • Exposure to NSN-based supply chain environments
  • Experience in business development, sourcing, or sales in industrial/defense sectors
