Non-Conforming Materials Coordinator

As a Non-Conforming Materials Coordinator, you will coordinate the flow of non-conforming material through its proper disposition path, ensuring materials are processed accurately and efficiently across ISOL and the broader materials management team. This role sits within the Inventory Management organization and works closely with Planning, Engineering, Supplier Quality, and Warehouse teams to resolve non-conforming material processes and support accurate inventory records.

You will play a key role in maintaining inventory accuracy and material flow by processing Electronic Deviation Reports (EDRs), facilitating vendor returns, and supporting quarterly cycle counts. Your work ensures non-conforming material is handled promptly and correctly, protecting product quality and supporting the broader materials management organization.

This role is critical to keeping non-conforming material moving to the correct disposition path and out of the flow of good inventory. By collaborating across Engineering, Quality, Planning, and Warehouse teams, you help protect inventory quality, drive inventory accuracy, support timely vendor returns, and enable IDEXX to maintain reliable, high-quality operations.

In this role:

• You will coordinate non-conforming material to its proper disposition path, ensuring non-conforming materials are collected and processed off the ISOL floor in a timely manner.

• You will process Electronic Deviation Reports (EDRs) for non-conforming material.

• You will collaborate with planners to facilitate vendor returns, monitoring inventory levels of returnable parts and proactively engaging Planning as parts approach ideal RMA levels.

• You will collaborate with Process Engineering (PE), Supplier Quality Engineers (SQEs), and Inventory Management teams to establish and maintain defined disposition paths for non-conforming materials.

• You will complete quarterly cycle counts in accordance with the established cycle counting program administered by Inventory Control.

• You will utilize SAP for a variety of functions, including inventory transactions, movement and release tasks, and cost center charges, along with independent problem solving and research.

• You will communicate with and receive all service parts returned from OUS (outside U.S.) depots.

• You will support Engineering requests, including reviewing Unrepaired (UR) materials, filtering designated serial numbers, and holding returned units until a repair path is determined.

• You will satisfy inventory requests by designated lot or serial number, utilizing work orders, material requisitions, and packing/shipping documentation.

• You will support continuous improvement of inventory management and non-conforming materials processes.

• You will maintain a clean, orderly, and safe working environment.

• You will assist/participate on special projects and teams as needed.

What you need to succeed:

• High School diploma or equivalent required

• A willingness to learn SAP

• General computer proficiency, including Microsoft Word and Excel.

• Strong problem-solving and research skills

• Strong verbal and written communication skills, with the ability to work effectively with cross functional teams.

• Ability to work well under pressure and tight time constraints.

• Ability to prioritize work and handle multiple tasks simultaneously.

• Must be detail oriented, a self-starter, and a team player.

• Basic knowledge of warehouse practices and material flow.

• Able to follow all Standard Operating Procedures (SOPs) and applicable ISO regulations.

Work Environment & Physical Requirements:

• Manufacturing & Warehouse environment where protective clothing and equipment may be required.

• Able to properly lift up to 50 pounds; able to occasionally lift and/or move up to 100 pounds with assistance.

• Able to work for extended periods of time standing, sitting, walking, and reaching with hands and arms, and to climb, balance, stoop, kneel, crouch, or crawl.

• Able to work at heights while using powered industrial trucks and proper safety PPE.

• Able to utilize, and be certified to use, power industrial trucks (PIT) or other motorized lift equipment.

• Certificate to operate a forklift may be required (training available).

• Moderate to high computer use.

• Ability to communicate verbally on the phone and in person.

• Fluency in the English language.

• This is a 1st shift role, based in Westbrook, Maine.
