Office Manager – HY Cosmetics & Minor Surgery
HY Cosmetics & Minor Surgery is seeking an experienced and driven Office Manager to oversee the daily operations of our growing cosmetic and minor surgery clinic. This leadership role is ideal for someone who is passionate about patient care, team development, and building efficient, high-performing systems in a modern healthcare environment.
Key Responsibilities
- Manage and oversee all day-to-day clinic operations to ensure a seamless patient experience
- Lead, coach, and mentor administrative and clinical support staff
- Coordinate scheduling, patient flow, and operational efficiency
- Oversee HR functions including recruitment, onboarding, performance management, and compliance
- Manage OHIP and cosmetic billing, ensuring accuracy and efficiency
- Ensure full compliance with PHIPA, employment laws, and healthcare regulations
- Support and execute marketing initiatives, including social media and online presence
- Monitor financial performance, assist with bookkeeping, and generate reports
- Handle patient concerns, resolve conflicts, and maintain a professional, positive clinic culture
Qualifications
- Minimum 3 years of experience in a supervisory or management role
- Formal training or relevant experience in:
- Human Resource Management
- Business Administration
- Medical Office Administration or Healthcare Management
- Experience in a healthcare, cosmetic, or medical clinic setting is required
Core Competencies
- Strong knowledge of medical office administration and terminology
- Experience with OHIP and cosmetic billing practices
- Understanding of employment laws, HR best practices, and PHIPA compliance
- Experience with marketing and social media management
Technical Skills
- Proficiency in:
- Accuro EMR
- Google My Business
- QuickBooks or similar bookkeeping software ( an asset)
- Microsoft Excel & Word
- Canva
- AI tools (e.g., Claude, Gemini)
Leadership & Professional Skills
- Proven leadership and team management abilities
- Strong problem-solving and crisis management skills
- Ability to work independently and make informed decisions
- Highly organized, analytical, and innovative
- Excellent interpersonal and communication skills
- Fluent in English (French is an asset)
- Strong understanding of medical ethics, professionalism, and patient confidentiality
Compensation
- $32–$45 per hour, based on skills and experience
