Job description

Job-Specific Responsibilities:

  • The International Philanthropy Coordinator supports frontline fundraising activities through donor briefings, prospect and topical research, strategy development, stewardship coordination with Donor Relations, donor and faculty correspondence, gift proposal development, and international gift policy submissions. The position works closely with Gift Management to ensure accurate gift processing and provides support to international senior leadership and faculty engagement activities.
  • Provides high-level support for international donor meetings, events, communications, and travel planning. Advises and assists Development Assistants with complex international itineraries and related logistics.
  • Supports key international initiatives under the guidance of senior fundraisers, including:
    • The Global Advisory Council, its annual meeting, and year-round member engagement.
    • Proposal development and fundraising activities related to international donors and priority initiatives.
  • Supports Senior Directors in managing donor pipelines and fundraising strategy; serves as the primary development office liaison to the Office of the Vice Provost for International Affairs; and assists with engagement of faculty leaders and internationally focused centers and programs.
  • In partnership with Research & Prospect Management and fundraisers across Harvard, assists in identifying, qualifying, and prioritizing international prospects; tracking cultivation and solicitation activity; developing prospect profiles; and preparing briefing materials for faculty and senior University leaders.
  • Manages the briefing and appointment process for international prospect meetings involving the President, Provosts, Deans, senior faculty, and other University leaders. Reviews briefing materials, assesses University affiliations and giving history, monitors relevant activity, and aligns recommendations with institutional priorities.
  • Serves as a liaison to Research & Prospect Management, coordinating requests for prospect research and producing organizational profiles, background materials, and briefings on individual and institutional prospects.
  • Works independently in a fast-paced, global environment, managing multiple priorities across geographic regions and University initiatives. Anticipates needs, advances projects proactively, resolves challenges, and provides guidance to administrative staff on briefing materials, travel logistics, and expense reporting.
  • Facilitates collaboration and information sharing across AA&D, schools, centers, and University partners, leveraging technology and effective communication practices to support fundraising objectives.
  • Partners closely with the Development Planning team to provide advisory and strategic support for presidential and provostial international travel and engagement activities.
  • Collaborates with Advancement Communications, Events, Donor Relations, Operations, and other University offices to strengthen stewardship, donor recognition, gift acknowledgments, reporting accuracy, and data integrity, while helping resolve complex gift-related issues.
  • Produces weekly team agendas, coordinates information gathering across the team, and provides high-level administrative and operational support. Assists with special events and meetings in support of fundraising activities.

Working Conditions:

  • Candidates must be willing to have an in-office presence of three days a week minimum and flexibility for in office as needed around manager needs and donor visits.

Basic Qualifications:

  • Two years of related or equivalent experience.
  • Solid computer skills in a PC and network environment, working knowledge of Microsoft Office suite.

  • Ability to work additional evening and weekend hours as needed.
  • You will be expected to work certain events/campus activities, such as reunions each Spring, and participate in department retreats that are taking place on campus in Cambridge, MA.

Additional Qualifications and Skills:

  • Bachelor’s degree strongly preferred, higher degree a plus;
  • Experience in an academic environment and knowledge of Harvard a plus; Knowledge of international fundraising in a non-profit setting helpful;
  • Excellent organizational skills. Capable of managing multiple assignments from multiple sources; efficient, organized, detail oriented, unflappable, and able to meet project deadlines.
  • Strong written and verbal communication skills, and the ability to comprehend and summarize detailed and complex research reports and press articles to create briefings.
  • Ability to maintain confidentiality and exercise sound professional judgment and possess a strong commitment to client service.
  • Strong interest in higher education and a general working knowledge of international issues, foreign language skills are a plus.
  • Must be professional, enthusiastic, collaborative, focused, motivated to learn and flexible to change, reliable, self-motivated, and able to work effectively with people from different backgrounds and experience.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
