Job Title: Medical Secretary

Department: Pharmacy Program

Immediate Supervisor Title: Pharmacy Manager

Job Supervisory Responsibilities: None

General Summary: A nonexempt position responsible for performing a variety of duties, clerical tasks, and other tasks assigned by the pharmacy manager

Essential Job Responsibilities

  • Answering the pharmacy phone line:
  • Taking refill orders for IOD and compound orders.
  • Compounds: payment collection, claim creation, ecw documentation, and order placement through appropriate portals.
  • IOD ED drugs: Payment collection, claim creation, ecw documentation, and TE forwarding for techs to dispense.
  • Triaging pharmacy-related calls in regard to order tracking
  • Oncolytic refill needs
  • Authorization requests
  • IOD rx log filing
  • Drug pre-collection: Cash and buy/bill services (T-pellets, Aveed, Xiaflex, etc.)
  • Buy and bill drug scheduling management
  • Ensure quarterly scheduling rules are implemented
  • Ordering compounded intravesical therapy and inventory tracking in PODIS
  • Conducting refill campaigns- IOD and compounds
  • Foundation patient enrollment
  • Daily unposted payment review
  • Tracking daily inventory counts of all drugs
  • Updating reporting for metric trackers
  • Assisting the pharmacy coordinator with authorization, retro-authorization needs
  • Project management as assigned by the pharmacy manager

Education: High school diploma or general equivalency diploma (GED).

Experience: Minimum one year of administrative assistant experience in a medical office setting.

Knowledge

Performance Requirements:

  • Knowledge of medical terminology and office procedures.
  • Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
  • Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
  • Knowledge of Medical tasks that include RX prior authorizations.
  • Familiarity with healthcare systems, regulations, policies, and functions.
  • Knowledge of infection control and safety standards.

Skills

  • Skill in operating office equipment.
  • Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving.
  • Common computer skills

Abilities

  • Ability to type 40 words per minute using word-processing software. Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to sort and file materials correctly using alphabetic or numeric systems.
  • Ability to communicate clearly and concisely.
  • Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.

Equipment Operated: Office machinery including computers, scanners, and payment collections

Work Environment: Work performed in an office environment. Involves frequent contact with staff and patients.

Mental/Physical Requirements: Manual dexterity for office machine operation including computer and clinical equipment; stooping, bending to handle patient’s mobility to complete errands or deliveries, or sitting or standing for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
