Senior Microsoft 365 & IT Systems Administrator (Long-Term, Native English Required)

Job Description

We are a 50-employee company that recently migrated from Google Workspace to Microsoft 365.

The migration is complete, but our Microsoft 365 environment requires a full audit, restructuring, and proper policy setup.

We are looking for a senior-level Microsoft 365 & Systems Administrator to:

Review our current configuration

Identify structural and policy issues

Propose and implement best-practice governance

Establish scalable policies for long-term growth

Provide ongoing structured IT support

This is a long-term collaboration reporting directly to the IT OPS & AI Director.

Communication quality is critical. Native English fluency is mandatory.

Current Challenges (Examples):

Microsoft 365 / Teams

Teams meeting recordings not starting automatically

Recordings not easily shareable across the organization

External communication restrictions

Calendar visibility policies (we want organization-wide visibility of busy/free without details)

Permissions & governance inconsistencies

External sharing configuration clarity

Storage / Migration

We currently have:

~12TB of data in Google Shared Drives

Need to migrate to:

Microsoft (SharePoint / OneDrive / Teams), OR

A third-party storage solution that integrates seamlessly with Microsoft 365 but at same or lower cost than Google Drive (Google Workspace Business Standard 2TB/user)

We are aware of Microsoft's 1TB per-user limitation and need an expert to design the correct architecture (SharePoint libraries, pooled storage, etc.).

We do NOT want improvised solutions — we want a properly architected system.

Scope of Work (Phase 1 – Strategic Setup)

You will:

Audit the full Microsoft 365 tenant

Review:

Exchange Online

Teams

SharePoint

OneDrive

Azure AD / Entra ID

Security & Compliance

Document current configuration

Identify gaps and risks

Propose structured governance policies

Implement approved changes

Standardize:

Teams meeting policies

Recording access rules

External communication rules

Sharing policies

Retention & compliance rules

Calendar visibility rules

Design a storage architecture for 12TB migration

Create documentation for future scalability

This phase will likely require full-time engagement initially.

Phase 2 – Ongoing Support (Long-Term)

After the restructuring phase, this becomes:

Structured part-time engagement (approx. 4 hrs/day when needed)

On-demand availability for IT operations

Responsibilities include:

Microsoft 365 administration

License management

Asana administration (light support)

VMware host + Windows VMs management

VPN account management (Fortigate 60F)

General infrastructure troubleshooting

User provisioning/deprovisioning

Policy enforcement & documentation

Supporting tool integrations

Technical Environment

Microsoft 365 Business / Enterprise

Slack (primary communication)

Microsoft Teams (partially used)

Asana

VMware

Windows Server VMs

many other light tools

Fortigate 60F firewall

Hybrid environment (local office + cloud)

Mandatory Requirements

Native English speaker

Proven Microsoft 365 architecture experience (not basic admin level)

Deep understanding of:

SharePoint architecture

Teams governance

Exchange policies

Entra ID / Azure AD

Security & compliance configuration

Experience with large Google Drive → M365 migrations

Strong documentation skills

Ability to explain technical decisions clearly

Willing to sign NDA

Important

Agencies are allowed only if a real senior engineer will be assigned and personally submit the proposal.

We will not consider generic or AI-generated applications.

Your proposal must:

Identify at least 2 risks you see in our current setup based on this description.

Explain how you would structure 12TB inside Microsoft 365.

Describe how you would handle Teams recording governance.

Applications that do not address these specifically will not be reviewed.

Initial intensive phase (full days expected)
