We help clients protect and diversify their wealth through a range of physical bullion solutions, including direct delivery, vaulted storage, registered bullion accounts, and wholesale bullion by the ounce.

Position Overview

Delta Harbour Assets Inc. is seeking a Regional Sales & Office Operations Manager to help drive new client acquisition, support and retain existing clients, and ensure smooth day-to-day office and transaction operations.

This is a multi-dimensional role that sits at the intersection of sales, bookkeeping support, order desk coordination, client service, logistics, and office administration. It is ideal for a highly organized, client-focused professional who can build relationships, close deals, manage workflow, and ensure operational details move accurately from start to finish.

The successful candidate will play a key role in delivering the Delta Harbour experience. That means educating clients, managing administrative processes, supporting the sales pipeline, coordinating orders and deliveries, maintaining strong records, and ensuring that the office environment reflects the quality and professionalism of the Delta Harbour brand.

Core Responsibilities

1.Bookkeeping and Administrative Support

  • Support day-to-day bookkeeping and office financial administration
  • Assist with invoice handling, payment tracking, basic reconciliations, and organized record keeping
  • Maintain accurate administrative files and transaction records – 95% digital
  • Help ensure internal financial documentation is current, accessible, and properly organized
  • Support operational reporting and general office administration as needed
  • Handle sensitive information with professionalism and discretion

2.Office and Workflow Operations

  • Oversee or support daily office workflow including scheduling, internal coordination, client communications, and task tracking
  • Maintain CRM accuracy, sales notes, reporting, and client activity records
  • Support leadership with internal communication, vendor coordination, and operational follow-through
  • Help maintain a polished, premium office environment aligned with Delta Harbour’s brand and values
  • Contribute to stronger internal systems, smoother workflow, and improved team efficiency

3.Order Desk Management and Transaction Coordination

  • Help run the order desk with a high degree of accuracy, urgency, and professionalism
  • Coordinate client orders from initial inquiry through transaction completion
  • Confirm transaction details, maintain documentation, and ensure smooth communication across sales and operations
  • Coordinate shipping, tracking, and delivery for Direct Home Delivery orders
  • Support inventory flow and internal communication related to client orders
  • Ensure all order activity is properly recorded, communicated, and followed through without delay
  • Troubleshoot operational or client issues related to order flow, timing, or logistics

4.Account Setup and Client Operations

  • Assist clients with onboarding for Registered Bullion Accounts including TFSA, RRSP, LIRA, and related account types
  • Coordinate with external partners such as Questrade and other service providers where required
  • Support clients opening vaulted storage and wholesale bullion accounts
  • Ensure documentation is complete, accurate, and processed in a timely manner
  • Maintain high standards for compliance, confidentiality, and transaction accuracy
  • Help ensure clients experience a smooth and informed onboarding process from start to finish

5.Client Education and Sales

  • Conduct discovery calls and consultations with prospective and existing clients
  • Educate clients on physical gold, silver, and platinum, including inflation, currency devaluation, supply and demand, systemic risk, and third-party risk
  • Present Delta Harbour’s product offerings and explain the various differences
  • Guide clients through suitable options, including Direct Delivery, Vaulted Storage, Registered Bullion Accounts, and Wholesale Bullion accounts
  • Build and manage a regional pipeline of prospects and repeat clients
  • Follow up proactively with clients to maintain strong long-term relationships and identify opportunities for additional business
  • Support regional business development through referrals, extended relationships, events, and educational conversations

6.Brand, Education, and Market Presence

  • Represent Delta Harbour professionally in meetings, webinars, regional events, and advisor conversations
  • Reinforce the company’s education-first philosophy using approved sales materials and client resources
  • Contribute ideas and feedback to improve scripts, onboarding tools, educational materials, and client communications
  • Help strengthen Delta Harbour’s regional visibility through consistent, informed, and client-focused representation

Skills and Experience Required/Desired

  • Minimum 5 years of relevant experience in sales, client service, bookkeeping, office operations, or a similar administrative role
  • Consultative sales ability and comfort discussing financial concepts in simple, clear language with the client base
  • Experience handling or supporting an order desk, transaction coordination, or logistics-based workflow would be a huge asset
  • Bookkeeping or office accounting experience, including invoice management, record keeping, and reconciliation support
  • Strong organizational and time management skills with the ability to juggle multiple priorities
  • Excellent attention to detail and commitment to accuracy
  • Strong written and verbal communication skills
  • High emotional intelligence and a natural ability to build trust with clients
  • Comfortable using CRM systems, spreadsheets, email platforms, and general office software
  • Self-starter with strong follow-through and process ownership
