In This Role

You will provide high-level administrative and operational support to senior leaders within a global business organization. Working at the center of complex, high-visibility initiatives, you will help leadership stay organized, prepared, and focused by managing schedules, coordinating meetings and travel, preparing presentations, and maintaining a consistent rhythm of business.

This role requires strong judgment, discretion, attention to detail, and the ability to collaborate with executives and cross-functional stakeholders across multiple regions. You will also partner with administrative professionals throughout the organization and support team events, leadership activities, and other business-critical priorities.

Responsibilities

  • Manage complex executive calendars across multiple time zones, proactively resolving conflicts and prioritizing business-critical meetings.
  • Coordinate leadership meetings, operating cadences, and rhythm-of-business activities, including agendas, presentation materials, logistics, and follow-up actions.
  • Arrange domestic and international travel, prepare detailed itineraries, and process expense reports accurately and on time.
  • Serve as a trusted point of contact between senior leaders, Finance, business managers, administrative partners, and global stakeholders.
  • Support strategic initiatives by tracking deliverables, deadlines, decisions, and follow-up items.
  • Prepare and edit presentations, reports, spreadsheets, correspondence, financial documents, memos, and meeting materials.
  • Coordinate team meetings, leadership offsites, employee events, and other organizational activities.
  • Organize and maintain confidential corporate records, files, reports, and documentation.
  • Review, prioritize, and route incoming correspondence and information requests.
  • Prepare invoices, assist with basic financial administration, and maintain accurate records.
  • Order office supplies and support other general administrative and operational needs.
  • Handle confidential and sensitive information with appropriate discretion.
  • Work independently while balancing multiple priorities and responding effectively to changing business needs.

Qualifications

  • High school diploma or GED.
  • At least two years of experience in executive administration, business support, office operations, or a related role.
  • At least two years of experience managing complex calendars, executive meetings, and leadership operating cadences.
  • At least two years of experience coordinating travel and processing expenses.
  • Experience communicating and working directly with executives, Finance partners, business managers, and other senior stakeholders.
  • Proficiency with Excel, PowerPoint, Teams, Copilot, and other productivity and collaboration tools.
  • Strong written and verbal communication skills.
  • Excellent organizational, prioritization, and time-management abilities.
  • Demonstrated ability to work independently and meet deadlines.
  • Strong attention to detail and commitment to producing accurate, high-quality work.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal and customer-service skills.
  • Ability to perform effectively under pressure in a fast-paced, global environment.
  • Ability to work in a hybrid arrangement and attend the office as required.

Preferred Qualifications

  • Experience supporting senior leaders across multiple countries or time zones.
  • Administrative or business operations experience within a consulting or professional services organization.
  • Experience supporting sales, strategic pursuits, complex deals, or other customer-facing business environments.
  • Experience managing rhythm-of-business processes and broader leadership operations.
  • Experience coordinating leadership presentations, executive briefings, and high-visibility meetings.
  • Experience planning team events, executive offsites, or large-scale organizational activities.
  • Familiarity with financial administration, including invoicing, budget tracking, procurement, or basic bookkeeping.
  • Demonstrated ability to anticipate leadership needs, resolve ambiguity, and operate effectively with limited supervision.

 

Salary Range 

At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market. For candidates based in Washington State, the anticipated salary range is $22– $24 per hr.  Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final salary and job title may vary depending on the selected candidate’s qualifications and could fall outside the stated range.
