Skills Required
- 5+ years administering learning technology environments (virtual delivery platforms, LMS/microlearning environments, user and access management).
- Demonstrated ability to operate within structured controls: incident logs, escalation workflows, change control, and release discipline.
- Experience validating completion tracking workflows and producing reliable exports for reporting and recordkeeping.
- Comfort supporting secure handling of program records (permissions, access controls, retention/cleanup routines as directed).
- SCORM packaging/testing experience is an asset (where microlearning is hosted and tracked in an LMS).
- Strong collaboration skills with program operations, instructional design, accessibility, QA/evidence, and facilitation teams.
- Configure and validate platform readiness: user roles, access permissions, meeting/session templates, and standardized settings.
- Validate the end-to-end workflow prior to launch: microlearning completion → session delivery → attendance capture → artifact submission routing → tracking outputs.
- Provide real-time technical support during delivery timebands (10 AM–12 PM, 1–3 PM, 3–5 PM) as needed, minimizing disruption to live sessions.
- Maintain an incident log with triage rules, severity rating, escalation, resolution steps, and closure documentation.
- Manage vendor escalations and coordinate fixes, ensuring resolution evidence and repeat-issue prevention.
- Maintain configuration change control: approved changes only, documented releases, and rollback readiness where appropriate.
- Support reporting integrity by ensuring exports and tracking outputs remain consistent, complete, and reliable throughout the year.
- Partner with internal leads to identify risk patterns (recurring access issues, tracking defects, broken links) and implement preventive controls.
Additional Requirements
Data Privacy (FIPPA/PIPEDA): Knowledge of Ontario’s Freedom of Information and Protection of Privacy Act (FIPPA) or federal PIPEDA standards for handling sensitive learner data.
Accessibility Standards (AODA): Proficiency in ensuring the learning platform and its content comply with the Accessibility for Ontarians with Disabilities Act (AODA) and WCAG 2.1 standards.
Instructional Design Awareness: A foundational understanding of adult learning principles helps the administrator better structure "learning pathways" rather than just managing files.
Stakeholder Communication: The ability to translate complex technical issues (like a server outage or a tracking error) into "plain language" for non-technical program leads and learners.
Change Management: Experience in guiding users through platform migrations or major system updates without disrupting active cohorts.
