Finance - The Stewards

WHAT YOU'LL DO

As a Media Cost Administrator, you'll manage the financial operations that support media investments across the agency. Your work ensures media billing is accurate, transparent, and aligned with the thoughtful planning that makes media matter.

Key Responsibilities

Media Billing & Reconciliation

  • Administer and reconcile media costs and vendor invoices across Search, Social, Programmatic, Paid Search, and other paid media channels.

  • Process monthly media billing accurately and efficiently using NetSuite and internal planning and purchasing systems.

  • Review vendor invoices to ensure alignment with approved media plans, purchase orders, and campaign execution.

  • Investigate and resolve billing discrepancies by partnering with internal teams and external vendors.

  • Maintain accurate billing records and ensure all financial documentation is complete and audit-ready.

Financial Operations

  • Track outstanding invoices and proactively follow up with vendors to ensure timely receipt and payment.

  • Maintain Excel-based billing trackers, reconciliation reports, and supporting financial records.

  • Support month-end close activities, invoice processing, document management, and record retention.

  • Assist with EDI invoicing processes and ensure billing data is complete and accurate.

Collaboration & Continuous Improvement

  • Partner closely with Media, Client Services, Operations, Finance, and vendor partners to ensure accurate billing and reconciliation.

  • Support agency billing initiatives and cross-functional process improvements.

  • Identify opportunities to improve workflows, strengthen financial controls, and increase operational efficiency.

  • Contribute ideas that simplify financial processes while maintaining accuracy and accountability.

WHAT YOU'LL BRING

Experience & Technical Expertise

  • 1+ year of accounting, billing, media finance, or related experience, preferably within a media agency, advertising, or marketing environment.

  • Understanding of digital media billing across Search, Social, Programmatic, Paid Media, and related advertising channels.

  • Experience working in NetSuite, including billing, reconciliation, and financial record management.

  • Advanced Microsoft Excel skills with experience organizing, reconciling, and analyzing financial data.

  • Experience managing high volumes of vendor invoices and financial documentation.

  • Familiarity with EDI invoicing systems is preferred.

  • Experience with QuickBooks is a plus.

Compensation: The estimated salary range for this role is $55,000 to $60,000. Compensation is based on the skills, experience, and qualifications each candidate brings to the role.

LOCATION

We operate on a hybrid, in-office model designed to foster collaboration, mentorship, and hands-on learning. Employees are expected to work from the office three days per week (Tuesday, Wednesday, and Thursday) to fully experience the energy of our teams and build meaningful connections.

This position is based in Irvington, New York. Candidates must reside in and be able to commute to the Irvington office three days per week.
