Job Description:

The Enrolment Services Officer (ESO) is a knowledgeable and versatile member of the Office of the Registrar, serving as a key resource for students, applicants, and alumni throughout their time at Algonquin College.

Reporting to the Manager, Enrolment Support Services, the ESO provides information and support through various channels, including in-person and virtual appointments, as well as email correspondence. The ESO assists clients with complex inquiries that require detailed review and analysis of student accounts, such as admissions, financial aid, and account-related matters. In performing these duties, the ESO exercises sound judgment, makes informed decisions, and carries out a variety of academic, financial aid, and other administrative tasks.

In addition, the ESO is responsible for leading retention-focused discussions with students who are considering withdrawing from their studies at the start of each term. The goal is to assess their circumstances, provide guidance on available options, and explore opportunities for student support wherever possible.

This role focuses on handling inquiries that require in-depth investigation or exceed the typical scope of a brief front-line interaction. These interactions will require specialist knowledge of admissions, financial aid and student record procedures. The ESO will also be required to use their judgment independently to determine an outcome best suited to the student need, in areas of low risk and complexity. The ESO will contribute to the training and onboarding of new full-time and part-time staff members. Given the confidential and sensitive nature of the information handled, the ESO must possess extensive knowledge of, and experience adhering to, the Freedom of Information and Protection of Privacy Act (FIPPA) in a professional environment.

Finally, the ESO is expected to demonstrate professionalism, integrity, and exceptional customer service in all interactions, ensuring that every student experience reflects the high standards of Algonquin College.

Required Qualifications:

  • Minimum two (2) year diploma in Business Administration, Office Administration, Client Services or other related fields. Equivalent combination of relevant education and work experience may be accepted in place of formal education.

  • Minimum three (3) years’ experience in a high demand client service setting; of which two (2) years must be in a student-serving post-secondary environment such as the Registrar's Office.

*This vacancy is for P23372.

This position requires regular on-site work at Algonquin College’s Woodroffe (Ottawa) Campus.

This position is subject to the terms of the Part-time Support Staff Collective Agreement: 2021-24-PT-Support-Staff-CA_FINAL_EN-1.pdf (algonquincollege.com)
