Job Overview:
We are looking for a detail-oriented and process-driven Payroll Administrator to manage high-volume UK payroll operations. The role involves end-to-end payroll processing, timesheet management, invoicing, reconciliation, and handling payroll-related queries from clients and candidates. The candidate will work closely with payroll, finance, operations, and credit control teams to ensure accurate and timely payroll processing.
Key Responsibilities:
Payroll & Timesheet Operations
- Process daily high-volume timesheets across multiple systems and client portals
- Validate, upload, and reconcile timesheets with accuracy
- Ensure all shifts and bookings are processed within deadlines
- Maintain daily productivity and processing records
Client & Candidate Support
- Handle payroll and timesheet queries through calls and emails
- Resolve discrepancies, resubmissions, and corrections with proper documentation
- Communicate professionally with UK clients and candidates
- Follow SLA timelines for all query resolutions
Contracts & Documentation
- Prepare and issue contracts as per placement details
- Maintain audit-ready documentation and records
- Track submissions, approvals, and corrections systematically
Financial Control & Reconciliation
- Reconcile self-bill invoices with internal records
- Identify payroll or invoice discrepancies and escalate issues
- Support invoice generation and submission through client portals
- Maintain proper audit trails for payroll transactions
Reporting & Performance Tracking
- Prepare operational reports on processed volumes and pending items
- Monitor team and individual productivity metrics
- Share daily status and performance updates
Required Skills
- 24 years of experience in UK payroll or finance operations
- Experience in payroll processing, invoicing, reconciliation, and timesheet management
- Strong communication skills for handling UK clients and candidates
- Good knowledge of Excel and multiple payroll systems
- Ability to work in high-pressure and deadline-driven environments
