The Role

We are seeking a detail-oriented and proactive Leasing Coordinator to support the day-to-day leasing and marketing operations of a growing commercial portfolio.

Working directly with ownership, you will play a key role in keeping leasing activity organized, responsive, and moving forward. This is an excellent opportunity for someone looking to grow their career in commercial real estate.

Responsibilities

Leasing & Deal Coordination

  • Prepare Offers to Lease, leases, amendments, LOIs and proposals
  • Track all leasing activity, documents, and correspondence
  • Coordinate negotiations, renewals, and terminations
  • Show available spaces and support leasing discussions

Tenant & Property Coordination

  • Coordinate tenant fit-ups, trades, and site inspections
  • Manage tenant communication, follow-ups, and ongoing care
  • Assist with service agreements, maintenance coordination, and scheduling
  • Support collections processes, including follow-ups and documentation

Marketing & Listings

  • Maintain listings (CoStar, LoopNet, website)
  • Prepare marketing materials, brochures, and presentations
  • Assist with advertising, sponsorships, and event coordination

Design & Development Support

  • Liaise with architects and designers on layouts, finishes, and specifications
  • Assist with space planning, design coordination, and documentation
  • Organize drawings, plans, and project updates

Research & Administration

  • Research market data, by-laws, and government requirements
  • Assist with cost analysis and general reporting
  • Maintain CRM, leasing systems, and databases
  • Support A/P, A/R, and general administrative functions as needed

Requirements

  • 2–5 years of relevant experience (commercial real estate, leasing, property management, or similar)
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication skills
  • Proficiency in Microsoft Office (Excel and Word required)
  • Experience with Yardi is an asset
