Administrative & Investor Operations Associate (1-Year Contract)We are an investment management firm seeking an Administrative & Investor Operations Associate. This position supports investor records, subscription processing, and transaction documentation for private investment funds.

Term: 1-Year Fixed-Term Contract

Role SummaryThe Administrative & Investor Operations Associate supports investor records management, subscription processing, and transaction documentation for private investment funds. The role involves direct interaction with CIRO-registered investment advisors, their assistants, investors, and coordination with external legal counsel and service providers.

Key Responsibilities

· Work directly with CIRO-registered investment advisors, advisor assistants, and investors to verify and update unitholder records.

· Respond to investor and advisor inquiries regarding holdings, documentation, and account information.

· Assist with the preparation, processing, and tracking of subscription agreements, rollover agreements, and related deal documentation.

· Support offerings conducted under accredited investor and offering memorandum exemptions.

· Coordinate document execution and information requests with external legal counsel.

· Maintain organized records of executed agreements, amendments, and supporting materials.

· Review, reconcile, and update investor data across internal databases and Excel schedules.

· Prepare Excel tracking schedules and professional correspondence using Word templates.

· Maintain confidentiality of sensitive investor and client information.

· High attention to detail and strong organizational skills.

Qualifications & Experience1. Required:

Brokerage industry experience (dealer, fund company, transfer agent, custodian, or similar).

Experience working with CIRO-registered investment advisors and assistants.

Strong Excel and Word skills.

  • Desirable:

Experience with accredited investor and offering memorandum processes.

Familiarity with subscription agreements or private investment fund documentation
