Job Responsibilities:

• Lead end-to-end planning, production & flawless execution of large-scale Medical Conferences, CMEs, Symposiums, Workshops & International Healthcare Events.
• Create and drive detailed event timelines, project plans, execution schedules, run sheets, checklists & budgets for seamless delivery.
• Take full charge of on-ground event execution, managing registration, backstage, speaker lounge, session halls, hospitality & vendor operations while being constantly on the move.
• Ensure smooth live conference flow, stage readiness, podium setup, cue management, announcements & session transitions throughout the event.
• Handle stage hosting coordination, audience announcements & moderation support for high-energy professional conference management.
• Coordinate closely with delegates, keynote speakers, moderators, panellists, faculty & international medtech professionals for end-to-end event readiness.
• Conduct speaker briefing, rehearsal, stage training & grooming before the event to ensure confident and impactful speaker delivery.
• Manage all logistics including air ticket booking, visa/travel, hotel stay, local transport, presentations & technical rehearsals.
• Handle US/EU client communication & international stakeholder management through prompt updates, reporting, conference calls & service excellence.
• Oversee complete AV setup & technical production including LEDs, microphones, teleprompters, clickers, webcast/live streaming, recordings & show cues.
• Supervise venue operations including ID badge printing, delegate registration, seating arrangements, VIP areas, signage, branding & exhibition zones.
• Identify, negotiate & manage vendors for venues, AV, branding, printing, fabrication, catering, gifting, transport & event technology.
• Ensure cost-effective vendor management, contract closures, timely deliverables & quality control across all event requirements.
• Oversee conference logistics including delegate kits, faculty dossiers, conference materials, stationery, giveaways & directional signage.
• Manage and monitor event budgets, expense tracking, vendor payments, sponsorship collections, registration revenue & final reconciliations.
• Lead and mentor event coordinators, registration staff, backstage crew, hostesses, volunteers & support teams for flawless execution.
• Coordinate seamlessly with marketing, sales, operations, creative, production & medical content teams for integrated event delivery.
• Act as the central command point during live events, handling urgent troubleshooting, last-minute changes, speaker issues, technical glitches & escalations.
• Maintain premium event quality, attendee satisfaction, brand visibility & exceptional professional standards at every touchpoint.
• Conduct post-event reviews, performance reporting, attendee feedback analysis, sponsorship evaluation & ROI tracking for future improvements.
