Job Description
We are seeking an experienced Payroll Tax Accountant to support complex multi-state payroll tax operations in a high-volume environment. This role is heavily focused on payroll tax accounting, compliance preparation, reconciliations, and tax-related payroll analysis rather than payroll processing itself. The ideal candidate will possess strong knowledge of federal, state, and local payroll tax regulations and have hands-on experience supporting multi-state payroll environments with complex tax jurisdictions.
What You'll Do
- Prepare and maintain payroll tax data and supporting documentation for federal, state, and local tax filings, including quarterly and annual reporting requirements such as Forms 941 and W-2 processing.
- Coordinate payroll tax setup and maintenance for new hires, including state and local tax withholding configurations across multiple jurisdictions.
- Reconcile payroll tax liabilities and ensure all payroll tax balances are accurate, explainable, and supported by detailed documentation.
- Partner with payroll and accounting teams to ensure payroll tax activity aligns accurately with payroll records and general ledger reporting.
- Review payroll tax data submitted to third-party payroll providers to ensure accurate filings and remittances.
- Analyze and resolve payroll tax discrepancies, notices, and withholding issues across multiple states and jurisdictions.
- Support compliance efforts related to complex multi-state payroll taxation, including jurisdictions with unique withholding and reporting requirements such as California, New York, Pennsylvania, and Ohio.
- Assist with payroll tax audits, regulatory inquiries, and documentation requests.
- Monitor changes in federal, state, and local payroll tax regulations and support implementation of compliance updates.
- Collaborate with internal departments and external vendors to improve payroll tax processes, controls, and reporting accuracy.
- Support special payroll tax projects and process improvement initiatives as needed.
What You'll Bring
- 5+ years of payroll tax experience within a multi-state payroll environment.
- Strong understanding of payroll tax compliance, payroll tax liabilities, reconciliations, and withholding requirements.
- Experience preparing payroll tax reporting documentation and supporting quarterly and annual tax filings.
- Demonstrated experience working with complex multi-state payroll tax environments beyond reciprocal states, including states with advanced tax requirements such as California, New York, Pennsylvania, and Ohio.
- Understanding of how payroll tax activity impacts payroll accounting and general ledger reporting.
- Experience working with third-party payroll providers such as ADP or similar platforms.
- Strong analytical and reconciliation skills with the ability to identify and resolve discrepancies.
- Advanced Excel skills and strong attention to detail.
- Excellent communication and organizational skills with the ability to manage competing priorities in a deadline-driven environment.
- Experience supporting payroll tax operations for employees in Canada, Puerto Rico, or other international jurisdictions.
- Experience in large or complex corporate payroll environments.
- Knowledge of payroll tax compliance controls and audit support processes.
- CPP certification or related payroll/accounting certification preferred.
Pay: $43,000.00 - $47,000.00 per year
