Job Title: Executive Assistant to COO (Operations & Reporting)

Location: Chennai (Onsite – 5 Days)

Role Overview

We are looking for a highly structured and execution-focused Executive Assistant (EA) to the COO to support operational governance, reporting, and cross-functional coordination across our India and UAE teams.

This role is not a traditional calendar-management EA. It is an operations-enabler role requiring strong analytical thinking, ownership mindset, and ability to drive follow-ups across multiple stakeholders (sales, delivery, finance, HR, and partners).

Key Responsibilities

1. Reporting & Business Insights

Prepare weekly, monthly, and quarterly MIS reports across business units

Track key metrics

Revenue vs targets

Pipeline & conversion

Collections & receivables

Project delivery status

Work with tools like Odoo, Excel, Power BI to consolidate and present insights

Identify gaps, inconsistencies, and highlight actionable insights to the COO

2. Cross-Functional Coordination

Act as a central coordination layer between:

Sales / ASL team

Delivery teams

Finance & collections

HR & operations

Ensure closure of action items from internal reviews and leadership meetings

Drive accountability across teams with structured follow-ups

3. COO Office Management

Prepare meeting agendas, MOMs (Minutes of Meeting), and action trackers

Support in business reviews, board-level summaries, and leadership decks

Maintain structured documentation for

Key decisions

Strategic initiatives

Operational plans

4. Process & Governance

Bring discipline in

Reporting cadence

CRM hygiene

Data accuracy across systems

Assist in defining and tracking SOPs and operational workflows

Support automation initiatives (reporting, dashboards, trackers)

5. Special Projects

Work on strategic initiatives driven by COO office:

New service launches

Partner programs

Internal process improvements

Conduct basic research, benchmarking, and data analysis

Required Skills & Qualifications

2–5 years experience in operations / business analyst / EA to leadership roles

Strong proficiency in

Excel (mandatory – advanced level)

PowerPoint (executive presentations)

Any ERP/CRM (Odoo preferred, but not mandatory)

High ownership and follow-through mindset

Strong communication and stakeholder management skills

Ability to handle ambiguity and multi-task in a fast-paced environment
