Job Summary

We are seeking a highly organized and proactive Planner / Office Administrator to oversee daily office operations, coordinate scheduling, manage vendor relationships, and support event planning activities. This role requires a versatile individual with strong administrative, communication, and team management skills to ensure smooth office functioning and effective project execution. The ideal candidate will have experience in office management, bookkeeping, and human resources, with the ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Manage calendar scheduling for staff, executives, and events to ensure optimal time utilization
  • Coordinate and oversee event planning activities, including logistics and vendor management
  • Supervise administrative staff and provide training & development opportunities
  • Handle bookkeeping tasks such as QuickBooks entry, payroll processing, and budgeting support
  • Maintain accurate filing systems, both physical and digital, for easy retrieval of documents
  • Oversee front desk operations including multi-line phone systems, phone etiquette, and visitor management
  • Manage human resources functions including employee records, onboarding, and HR compliance
  • Support office management duties such as supply ordering, facility maintenance coordination, and document preparation
  • Ensure effective communication across departments through clear correspondence and organizational skills
  • Assist with medical office management tasks if applicable

Experience

  • Proven experience in office administration or office management roles
  • Supervising experience preferred with demonstrated team leadership skills
  • Familiarity with QuickBooks accounting software and payroll processing
  • Experience in event planning and vendor management
  • Strong background in bookkeeping, budgeting, and clerical tasks
  • Excellent organizational skills with the ability to prioritize multiple responsibilities effectively
  • Exceptional communication skills and professional phone etiquette
  • Prior experience in medical office management or human resources is a plus
  • Demonstrated ability to train staff and support team development initiatives

Pay: $15.00 - $20.00 per hour
