Role Overview
This is a full-time position of approximately 37.5 hours per week. The role is fully in-office and based in downtown Montréal. The Legal Assistant / Office Coordinator reports directly to the Manager of Support Services.
This position is ideal for a motivated, organized, adaptable, and proactive individual. The successful candidate will act as the primary coordinator for the Montréal office while also supporting one to two lawyers and collaborating with legal support teams to ensure smooth daily operations.

Key Responsibilities
Manage calendars and schedule appointments using Outlook and other planning tools
Maintain electronic and physical 'Bring Forward' systems for task and file management
Complete monthly expense reconciliations for assigned lawyers
Provide support for negotiations and regulatory matters, including preparing legal documents for courts and agencies
Organize, maintain, and update complex electronic and paper filing systems
Draft, edit, format, and organize correspondence, memos, reports, and other legal documents
Coordinate meetings, including logistics, document preparation, and catering
Manage client files, pleadings, records, briefs, and supporting materials
Assist in reviewing and organizing documentary evidence for complex matters
Scan, copy, and manage document processing tasks
Coordinate travel arrangements as required
Provide reception support, including greeting visitors, answering phones, and directing calls
Handle incoming mail and courier distribution
Oversee daily office operations and physical workspace needs
Set up, clean, and organize meeting rooms and AV equipment
Order and manage office supplies and inventory
Maintain general office organization and cleanliness
Perform additional administrative duties as required
Requirements & Qualifications
Be bilingual in English and French (spoken and written)
Have a diploma in Legal Administration, Office Administration, or equivalent experience
Have at least 3 years of experience in a legal assistant or similar role
Demonstrate strong organizational and time-management skills
Be able to work independently with minimal supervision
Preferred Skills
Strong attention to detail and excellent technical skills
Ability to work collaboratively in a team environment
Proficiency in Microsoft Office
Familiarity with legal software (e.g., iManage, Cosmolex)
Ability to adapt in a fast-paced environment with shifting priorities
Strong communication and interpersonal skills
Ability to remain effective under pressure
