Bookkeeper – Accounts Payable & Receivable ( Maternity Leave 12 Month Contract)

The Opportunity

We are looking for a detail-oriented and highly organized Bookkeeper to manage our Accounts Payable and Accounts Receivable functions. This role is critical to ensuring accurate financial records, timely payments, and strong cash flow management.

You will work closely with leadership and operations to maintain clean, accurate books and support the financial health of the business.

Key ResponsibilitiesAccounts Payable (AP):

  • Perform 3-way matching (PO, packing slip, invoice) for all incoming vendor invoices
  • Ensure all invoices are properly coded, approved, and entered accurately
  • Schedule and process vendor payments (aligned with payment cycles)
  • Reconcile vendor statements and resolve discrepancies
  • Maintain organized and audit-ready records of all payables

Accounts Receivable (AR):

  • Generate and send customer invoices daily with supporting documentation
  • Ensure all invoices are accurate and aligned with shipped orders
  • Monitor accounts for overdue balances and perform weekly follow-ups
  • Send monthly statements to all active accounts
  • Work with customers to resolve billing discrepancies and improve collections

Bookkeeping & Financial Accuracy:

  • Ensure all transactions are recorded accurately in accounting software (e.g., QuickBooks)
  • Attach receipts and supporting documentation to all transactions
  • Perform regular bank and credit card reconciliations
  • Maintain clean and up-to-date financial records

Reporting & Support:

  • Assist with monthly financial reporting and close processes
  • Support cash flow tracking and forecasting
  • Work with leadership on process improvements and efficiencies
  • Assist with administrative and reporting tasks for the CEO as needed

What You Bring

  • Proven experience in bookkeeping, AP/AR, or accounting administration
  • Strong understanding of 3-way PO matching and reconciliation processes
  • High attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with accounting software (QuickBooks or similar) and Excel
  • Strong communication skills for vendor and customer interactions

Nice to Have

  • Experience in distribution, wholesale, or inventory-based businesses
  • Familiarity with purchase orders, inventory systems, and logistics workflows
  • Experience improving financial processes or implementing controls
